Roles and responsibilities:

Direct Support of the Consul General (CG) & to the Deputy Consul General (DCG) to enable them to deliver their objectives:  
- Strategically manages the CG / DCG time: working with Deputy CoS, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
- Assist the HMTC / BCG in balancing the competing demands of his dual roles and coordinate his activities with external contacts, Heads of Section and other key staff in the network 
- Monitors information flow to the CG: Sometimes acting as a gatekeeper, ensuring CG involvement in a project or decision-making process at the right moment.
- Conserves CG time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
- Assists in research and drafting of briefing materials for the CG and Deputy CG:


Meeting, events and visits preparation and follow up: Assist in the delivery of high-level visits, and events and oversee Residence events to deliver the best impact
- Maintains CG appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Assist the CG in balancing the competing demands of his dual roles and coordinate his activities with external contacts, Heads of Section and other key staff in the network. 
- Reviews upcoming meetings for the week to ensure the CG have all the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary (Note necessary materials for review in the pack the night before). Confirm all appointments and meetings (even business meetings with non-clients) the day before. 
- Maintain CG travel programs; Coordinates travel arrangements including booking flights, hotels and cars; works with Regional Teams and other offices to develop programmes for travel, including rosters of meetings, introductions and itineraries


Project Management: BCG Honours Programme and ad hoc projects (e.g. staff survey follow up, BCG wide- activities).


Contacts Management: Facilitate the BCG and DBCG communications with a wide variety of interlocutors in business, media, culture and political worlds, Whitehall and the Embassy.  
- Identify key contacts and engagement opportunities in newer sectors for CG to engage with
- Establish and maintain strong contacts across the Consulate, US network, Whitehall, key administration offices and CEO offices at Fortune 500 companies.   Ensure that the Private Office reflects the professionalism of the Consul General and the Consulate.
- Check HMTC / CG inbox regularly throughout the day and move non-critical messages to the HMTC inbox to be handled by the executive office directly, Utilize daily round-up to check in and discuss anything that has come up.

• Ability to identify, analyse and address a wide variety of issues and problems in a fast-paced environment.
• Ability to prioritize multiple projects.
• Knowledge of the goals, objectives, structure of the organization
• Ability to gather data, compile information, and prepare reports.
• Excellent research, writing, and oral communication.
• Ability to create, compose, and edit correspondence and other written materials.
• Strong interpersonal skills and the ability to effectively work with a wide range of individuals and constituencies in a diverse community.
• Strong IT skills, including recent use of the full range of MS Office suite including Outlook, Excel, PowerPoint and Word.
