The British Embassy, based in Brussels, Belgium, is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas. We are now looking to recruit a Corporate Services Officer on a fixed term contract until March 2022.

Corporate Services Benelux (CSB) leads on operational support to the UK Diplomatic Missions in Brussels, local Devolved Administration offices and the UK Border Force Brussels office. We manage and deliver a broad range of operational and strategic work on staff issues (locally recruited and UK based), finance, IT, security, transport and residential accommodation.

The successful candidate will provide support to two busy CSB teams (UK-Based Support Team and Estates Operations). They will be an organised self-starter, with a flexible ‘can do’ approach who has an eye for detail, and excellent communication skills - fluent in English and ideally with some knowledge of French. 

Main duties and responsibilities:

To provide support to the Estates Operations (EO) and UK-Based Support Team (UKBS) in the following areas:

  • Schedule meetings and take notes in regular Teams meetings regarding; projects, reactive works and meetings relating to the wider Estates Operations team in Europe and the Brussels Housing Committee;
  • Run progress reports and desktop audits on work orders – by accessing the Mitie Helpdesk and online reporting tool;
  • Work with the Regional Contract Managers (EO) and the Head of the UK-Based Support Team to review and draft welcome information and other staff communications;
  • Participate in the working group on staff residential accommodation to collate feedback on the staff residential experience;
  • Undertake site visits (all within easy access of public transport, and predominately to Brussels city communes and Tervuren) to view progress on projects and works undertaken to prepare properties;
  • Undertake visits to the local Tax office to process customs documents;
  • Provide adhoc access to Head of Mission residential properties and supervise maintenance contractors; 
  • Assist in collating and storing documents on Teams;
  • Provide support to the Head of the UK-Based Support Team on the vaccination programmes (Covid-19 and seasonal flu) for staff and dependents;
  • Calculation of healthcare claims for UKB officers and dependents;
  • Management of the buddy scheme for UK-Based officers;
  • Provide cover for other members of the team during busy periods and absences;
  • Any other duties as directed by the two team leaders.
  • Full professional proficiency in English, including excellent writing skills (written and spoken, minimum of C1 level for CEFR framework*);
  • Previous experience as Office administrator, Admin assistant or similar support role;
  • Well organised with the ability to handle a variety of tasks and prioritise accordingly;
  • Proven ability to work successfully in a team;
  • Excellent customer service skills and a professional manner;
  • Proven MS Office skills (Microsoft Outlook, Word, Excel);
  • Working knowledge of MS Teams.
  • Fluent or intermediate French (written and spoken);
  • Experience dealing with external contractors/stakeholders;
  • Driving licence and willingness to drive.

This is fixed term contract until 31 March 2022, full-time for 5 working days (36.25 hours net) per week. The monthly gross salary for this position is € 3,486.19, A2 level. In addition, we offer an extensive salary package, which includes a 13th month, luncheon vouchers, reimbursement of public transport and a lot more. We offer more days of annual leave than the Belgian requirements.

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.

The successful candidates will be subject to professional background checks and security clearance.

Passport: officers are expected to be in possession of a passport due to the possibility that they may be asked to undertake business travel.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Belgium and be prepared to ensure that right remains throughout the scope of the contract.
