Main purpose of job:

     

We are looking for a dynamic self-starter who is resourceful and works well under pressure. The Estates Officer is responsible for the day-to-day running of Estates Officer works in close collaboration with the Estates team to ensure the efficient and effective Management of the Consulate Estates and suppliers.


The successful candidate will report to the Estates Manager and will be part of the Brazil Network Corporate Services team. The Estates include the Consulate in Sao Paulo and aprox 10 properties.

 

Roles and responsibilities:

 

The Estates Officer will have the responsibility of effectively dealing with the day-to-day operational relationship between the internal customer and the network Corporate Services Teams. He/she will be part of a dynamic team, who will support the entire Brazil Network on all maintenance requests and customer relationship related issues. Effectively and promptly handling and recording internal customer requests and communications, complaints and evaluations. He/she will work closely with all Corporate Service Teams and will monitor customer service delivery and oversee quality control, dealing with all customer relationship issues for all staff and UKB families, contractors and all other Corporate Service stakeholders. He /she will support, assist and work closely with the Estates Manager with the planning, implementation, monitoring and follow up for a diverse range of estates demands, management information systems, stakeholder management and basic process improvement.


Estates maintenance requests and Communication:


- Receiving and dealing with internal customer requests for estates team.


- Ensuring that all internal and external customers’ day-to-day needs are met promptly and effectively. Organise properties moves.


- Leading on customer communications throughout the customer service delivery process, dealing with external suppliers, tasking and chasing customer requests as necessary.


- Effective and timely customer quality control feedback and communication with clients.


- Maintaining accurate and detailed maintenance request records. She / He will deal with maintenance of up to 10 properties.

Health & Saftey:


-        Priority to be given to the implementation of all health and safety processes and recommendations from technical reports.


-        prepare programmes for periodic technical inspection visits (gas / electric)


Estates Projects:


-Supporting and assisting the Estates Manager/Estates Project Analyst with a variety of projects, including exploring new systems to facilitate service requisitioning, and continuous process improvement.


-Feeding in and providing information to the Estates Manager on customer service quality, productivity, resource usage, consistency and results for summary reports.


Basic Process Improvements:


– Assisting the Estates Manager with process improvement, monitoring to identify new and innovative ways of working, simplifying and streamlining, chasing tasks that can be dropped and that can be improved with technology.

 

Change management:


- To assist and support the Estates Manager with the planning and control of change projects within Corporate Services, communication strategies and effective stakeholder management.


- Provide other administrative support as and when required and be able to cover for other Corporate Service colleagues during absences and leave periods.


Essential on arrival: dynamic, organized, proactive and have a positive attitude. Be a team player with excellent customer focus and relationship skills. Strong prioritization skills and good time management with the ability to deal with many different tasks at the same time. Demonstrate how to negotiate maintenance requests objecting value for money outcomes.


Desirable: 01 year of experience on Administrative tasks or experience on Facilities in commercial buildings.
