Main purpose of job:

To assist the Corporate Services Team at the British Consulate in Rio de Janeiro in providing support to Estates, Security and Transport, IT and HR departments to deliver a good level of service to internal and external clients.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Provide general assistance to sector team, which includes:

  • Provide support at residences accompanying suppliers when necessary
  • Creation of new suppliers with financial team filling the correct forms
  • Get in contact with local suppliers for services requests  
  • Registry and send receipts for payment on time
  • Assistance in the organisation of events
  • Updating databases
  • Researching for new suppliers, products or technical assistance of existing products 
  • Provide general assistance to Security/logistics, IT and RH department
  • Liaising with suppliers and contractors, quoting and organise maintenance works
  • Escorting contractors and suppliers within the official properties and the office
  • Updating inventory
  • Organising the transport booking Researching for new suppliers, products or technical assistance of existing products
  • Giving support to internal clients
  • Controlling and purchasing stationery when necessary
  • Keep sector charts, texts and presentations updated with accurate information
  • Have an education/degree ongoing (HR Management, Management Entrepreneurship, Administration, Information System and Psychology are an advantage)
  • Preferable that candidate is in 2nd – 5th semester; should be early in their degree program
  • He/she should possess an excellent command of written and spoken English and Portuguese
  • Strong organisational, communication, customer service, proactive, and team-working skills
Previous experience in working for a company or diplomatic mission is an advantage

Eligibility to work and live in Brazil is required.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.

Working patterns:

30 hours per week. Work is mostly remote due to COVID.
