Main purpose of job:

The job holder will provide high level platform support within Corporate Services Section.  You will be responsible for implementing good Protocol policies and practices and providing key operational delivery in liaison with the Ministry of Foreign Affairs and other local authorities to facilitate the smooth running of the Embassy and providing logistical support to the Embassy and its staff.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Meticulous preparation of required paperwork and liaison with Government of Sudan to provide logistics required for the Embassy to function effectively including liaison on visas for UK staff and visitors; applications for residency; ID’s, driving licences; travel permits; customs clearance; liaison with airport authorities for official Diplomatic deliveries.
  • Complete import and export processes for diplomatic staff and families (heavy baggage, vehicles and airfreight).
  • Regular networking with stakeholders at airports, ports and shipping companies to ensure rapid release of Embassy goods for earliest customs clearance and delivery.
  • Airport Facilitation - smooth facilitation of Embassy Staff, visitors and VIPs arriving and departing from Sudan Airports. 
  • Understanding movement requests and rules related to movements of diplomats and travel permits
  • Drafting of NVs and follow up with MFA & other Government authorities and arranging appointments.
  • Facilitation of overflight approvals with the Civil Aviation Authority.
  • To build and maintain good working relationship between the Embassy and various Government Ministries including Ministry of Foreign Affairs, Ceremonies, Customs, Civil Aviation Authority, Airport Immigration etc
  • Provide regular, clear and timely updates on protocol issues to customers and help maintain protocol tracker to provide statistics to evidence the level of service provided.
  • Liaison with the Diplomatic Traffic Police for the official/ private vehicles, request for registration and annual renewal; manufacture diplomatic plates and traffic inspection.   
  • Provide administration support as required within the Corporate Services Team.
  • 3 years relevant office administrative/executive experience
  • Comfortable with a process driven role, enabling our frontline teams to deliver 
  • Ability to manage detailed processes
  • Commitment to customer service
  • IT skills/ability to work with Outlook/windows/excel/TEAMS.
  • Full driving licence
  • Experience working with Government administrations.
