Main purpose of job:

The British Embassy in Hanoi is looking to recruit an Executive Assistant. This is an interesting and challenging role in which will report directly to the Ambassador. The successful candidate will be part of a dynamic team helping the Ambassador on the full range of work including managing events, projects, budgets, travel and networking plans as well as the full range of PA duties.  This means that communication and organisational skills, along with excellent teamwork and flexibility are essential.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Building and maintaining relationships with a network of key external contacts to facilitate the work of the Ambassador. 
  • Managing the schedule, travel and correspondence of the Ambassador to maximise his / her impact. 
  • Oversight of events, projects and budgets, to get the most out of the Residence and other Embassy venues. 
  • Contributing to the corporate objectives of the Embassy. 

Resources managed (staff and expenditure):

  • 3 Residence staff and the Ambassador’s budget
  • Relevant work experience, with working in an international company an advantage
  • Experience in the management of people and resources
  • Proven record of delivering results, including excellent self management, organisational and planning skills
  • Strong capacity for working with IT with proficiency in using MS Office, Outlook,  Excel, PowerPoint, web applications and proficient typing skill
  • Highly flexible and able to work in a multi-disciplinary team
  • Excellent spoken and written English and Vietnamese
