Main purpose of job:

The scheduler is the cornerstone of the Ambassador’s private office. Working closely with Ambassador, colleagues across the Embassy, the Ambassador’s Residence, the wider US network and departments in London, the scheduler will need to balance competing priorities to ensure the Ambassador’s time is used most effectively.

This is a fast-paced and fascinating role at the heart of the Embassy, and offers exposure to some of the most important and high profile areas in the US/UK relationship. Working directly to the Ambassador’s Chief of Staff, the job holder will be a crucial member of a friendly and approachable team. 

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Scheduling meetings and maintaining the Ambassador’s diary in line with wider Embassy priorities;
  • Receiving and filtering all invitations to the Ambassador and bids (internal and external) for use of the Ambassador’s Residence;
  • Commissioning and collating briefs for the Ambassador’s meetings and preparing the daily briefing folder;
  • Ensuring clearances/logistic arrangements for the Ambassador’s DC based meetings;
  • Arranging programme and travel arrangements for the Ambassador’s visits to the UK;
  • Providing support to the Ambassador’s Chief of Staff and wider Private Office team as required.
  • 2-3 years of previous experience of scheduling/diary management required;
  • Excellent secretarial skills, including touch and/or speed typing and proficiency with the Microsoft Office Suite;
  • Excellent organisational skills and a keen eye for detail;
  • Strong team player who can multitask and work flexibly based on the changing needs of the team and business;
  • Language: native English speaker;
  • Under US State Department requirements, the UK Government in the US may only employ, as non-diplomatic staff, persons who are US citizens, US Permanent Residents or A visa holders with EAD cards*. If you hold a visa other than an A visa you are not currently eligible to work at our office.  Please refer to our website for information on exceptions to this policy at www.gov.uk/government/world/usa.  All selected candidates are subject to background checks and will require a security clearance prior to starting work. *A visas are acceptable at the Embassy and Consulates. The UK Mission to the UN (UKMIS) accepts G visas, and British Defense Staff (BDS) outposts accept A or NATO visas.
