Main purpose of job:
The job holder will have to ensure efficient running of the Front Office, handling all telephone calls and customer enquiries in a prompt and professional manner.
Roles and responsibilities
- To ensure efficient running of the Front Office, handling all telephone calls and customer enquiries in a prompt and professional manner. Direct calls to sections/individuals as appropriate.
- To receive all official visitors in a prompt and professional manner and ensure visitors’ entry into the High Commission is in compliance to strict security guidelines. Keep an up to date visitor’s log including entry pass.
- To undertake a quarterly update of the internal telephone directories and conduct monthly test message of the High Commission’s SMS alert system.
- To manage out of office transport requests and allocate duties to drivers in line with transport duty roaster.
- Responsible for recording movement of official, diplomatic & residential keys.
- Direct distressed British Nationals to the out of hours Global Response Centre in London.
- Assist Crisis management team in relation to fielding emergency calls and notify Security section of any suspicious activity or threatening calls.
- Test and monitor incident, fire & bomb alarm system and making announcements on PA system.
- Receive and sign urgent out of office hours courier mails. Delivery of letters/packets to relevant officers after recording in the register.
- Record all lost property at the Reception.
- Call for taxis for visitors & staff on compound.
- Booking of meeting rooms/GFCR for official meetings.
English and Hindi are essential, additionally Punjabi is desirable.
SALARY PACKAGE
Length of Contract : 2 Years
For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply. For other than British High Commission candidates, Salary will be Rs. 26494 per month together with a 12% provident fund and 6% Special Allowance.
