The British Embassy in Doha has a vacancy for a Corporate Services Assistant- Estates and Transport, Grade A1 (L) position.

Objective:

The jobholder is responsible for supporting the Corporate Services Officer in the delivery of a quality facilities management service and also for providing procurement and administrative support to the Corporate Services Team.  The jobholder will be expected to be a self-starter, exceptionally organised with a passion to deliver a highly professional service to all who access the Embassy.

Main Duties and Responsibilities:

  • Supporting the Corporate Services Estates Officer  to ensure accommodation is prepared / returned for arrivals and departures:

  1. Managing the procurement, delivery and collection of furniture and coordinating fixtures and fittings
  2. Facilitating the property handovers to new arrivals, ensuring properties are clean and well maintained and then restored in readiness for return to landlords 
  3. Organising any temporary accommodation if required
  4. Ensuring any new property is correctly prepared and signed for and then checked upon departure
  5. Ensuring the furniture inventory is correctly prepared and signed for and then checked upon departure
  6. Ensuring Utility bills are correctly registered / un-registered and supporting with setting up and cancelling telecoms
  7. Ensuring properties are recorded in Pyramid (property management database)

  • Supporting the Corporate Services Officer in the delivery of the planned maintenance and improvements arising from the Property Compliance Assesment
  • General procurement of goods and services to support the estate
  • Procurement of stationery items and management of the stationery store
  • Procurement of medical stocks
  • Liaison with Embassy cleaning team to ensure Embassy (internal and external) cleanliness throughout the day
  • Liaison with Embassy maintenance team to ensure Embassy PPM schedule is correctly followed
  • Coordinate internal maintenance requests and escalating to HUS helpdesk
  • Provide support for meetings and events including room set up and provision of refreshments / stationery and IT /AV requirements
  • Deputising in the absence of Corporate Services Officer – Estates and Transport
  • Providing cover to Reception position
  • Any other duties as required to support the Corporate Services Team

Essential:

  • Must have excellent spoken and written English (minimum IELTs 7).
  • Good self-management, organisational and customer service skills.

  • Flexible and positive approach to working in a forward thinking, modern and motivated organisation.
  • Holds a valid Qatar driving licence

Working hours and Remuneration:

The British Embassy offers a competitive remuneration package, including non-negotiable salary of QR7,601 per calendar month and transportation allowance of QR800 per calendar month; a leave entitlement of 25 working days rising to 30 working days; and access to training. 

No accommodation and relocation expenses are payable in connection with this position.

Embassy working hours are 7.30 a.m. to 3.30 p.m. Sunday to Wednesday and 7.30am to 1.30 p.m. on Thursday.  This position is offered on a full-time basis and due to the nature of the work, some flexibility on hours will be required.  There is also scope for flexible working to meet an individual officer’s personal circumstances. 

The successful candidate will need to commence security clearance procedures through the Embassy.

Eligibility:

Candidate must hold a valid Qatar ID under family sponsorship.
