Main purpose of job:

 

This role is comprised of two core functions:


  • To provide administrative support to the Scottish Affairs Counsellor and wider Scottish Affairs Office team.
  • To assist in the delivery of projects to help build on the longstanding relationship between Scotland and the US.



Roles and responsibilities / what will the jobholder be expected to achieve?:

 

  • Provide executive support to the Scottish Affairs Counsellor and wider Scottish Affair’s Office by handling all correspondence, monitoring and managing emails/calendars, scheduling appointments, booking travel, organizing meetings (including transatlantic video and teleconferences), and maintaining files and expenses
  • Act as the principal point of contact for routine (Scotland-based) corporate functions including procurement and IT.
  • Provide support and resilience to all projects the Scottish Affair’s Office undertake across the whole of the US – from the planning phase through to delivery and follow up, ensuring that we are meeting the objectives set out in the office’s annual Business plan.
  • Provide support to grow the Scottish Affair’s Office communication plan including increasing our social media presence – working with colleagues in Scotland to ensure consistent and regular promotion of wider Scottish Government messaging and localising the messaging where appropriate.
  • Act as the liaison point between the Scottish Affairs Office and its “Team Scotland” partners in the region.

Essential on arrival:


  • Experience with social media platforms
  • Good time management
  • Organizational skills and attention to detail
  • Competent in working with Microsoft Office packages and internet applications

Desirable:


  • A connection with or interest in Scotland
  • Experience in financial management and/or systems

This is a full-time position, candidates will be expected to be able to work 5 days per week (40 hours). Some out of hours working will be expected ( to attend evening and weekend events) though this is minimal.

On occasion some travel will be required both in the DC area and New York.
