Corporate Services Support

The British Embassy in Kazakhstan is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Receptionist, based in Nur-Sultan. This is a maternity leave full-time position with a contract of an expected duration of 5 months, with possibility of extension by mutual agreement. 

The successful candidate will be a highly motivated individual with strong organisational and communication skills, and will provide operational and administrative support to the British Embassy.

Main Roles and Responsibilities:

Embassy fleet management

  • Liaison with the Administration for Service to the Diplomatic Corps (UPDK) on official and diplomats’ vehicles registration/de-registration including other legal mandatory procedures;
  • Transport bookings system coordination, annual cars insurance handling, line-managing Embassy drivers, mileage and fuel records monitoring;
  • Winter bus service assistance to CSO (emails, Winter bus Declaration distribution);

Administrative Support

  • Receiving and processing Embassy visitors;
  • Registration, sending outward mail and diplomatic bags via official contractor;
  • Receiving and dispatching incoming mail across Embassy sections;
  • Telephone exchange, monitoring building access cards for the British Embassy staff and guests/visitors;
  • Stationery and cleaning materials stocks handling and reporting Corporate Services Officer on this;
  • Order of business cards;
  • Translations upon request;

Financial Assistance

  • Prism requisitioning and receiving under close cooperation with Financial Hub Centre and Corporate Services Manager supervision;
  • Support to the Accounts section on invoice control, cover for the Accountant in specific responsibilities;
  • Invoice processing and supplier management;
  • Receipting goods and services via Oracle software;

  • Excellent command of verbal and written English and Russian languages;
  • At least 1 year of work experience in carrying out administrative work;
  • An experienced problem solver, preferably in a customer services role;
  • A self-starter that can work well both individually and in a team;
  • Good self-management and organisational skills with an ability to plan and prioritise effectively with competing workload under pressure;
  • Excellent listening and communication skills;
  • IT proficiency – Using MS Office, Outlook and ability to learn FCO systems
  • Good spoken and written Kazakh would be an asset;

This is a temporary full-time position of 5 working days (36 hours net) per week, excluding lunch hours, to cover a maternity leave of 5 months, with possibility of extension by mutual agreement.

Salary will be USD 834,67 per calendar month (gross). Please note that it is the employee’s responsibility to pay individual income tax.

Employees are entitled to annual leave entitlement pro-rata based on 25 days total per calendar year. In addition, the Embassy observes up to 14 days public holidays marking different Kazakh and UK holidays. The Embassy provides medical insurance for the job holder and two dependants.

The successful candidate will be subject to confirmation of a professional background check and security clearance, and is expected to commence employment as soon as possible.
