View Vacancy - HK- Executive Assistant to Deputy- Consul General A2(L)
Main purpose of job
To provide secretarial and administrative support to the DHM and the Economic Diplomacy Team. To support the DHM in engaging with staff and promoting staff development.
Roles and reponsibilities
- Secretarial and administrative support for DHM. Duties will include drafting occasional letters and taking minutes, scheduling external and internal meetings and arranging business hospitality and keeping contact databases and electronic filing up to date. Providing the secretariat function for the Consulate-General’s Joint Management Board. Organising network events – e.g. regional DHM conference.
- Supporting the DHM in engaging staff and promoting staff development. Organising induction courses for new staff, organising a series of Diplomatic Academy Foundation Course workshops (securing facilitators, booking rooms, setting up equipment, downloading materials). Organising staff engagement events – e.g. Town Hall meetings, staff survey focus groups.
- Supporting Economic Diplomacy Team. Managing and monitoring the team’s devolved travel and entertainment budget including planning and monthly monitoring throughout the year. Providing support to the team, including on desk research, event management and VIP programmes
- Corporate responsibilities. Regular tasks will include initiating and progressing monthly Corporate Services Team surprise check (including obtaining end of month bank statements and passing sealed papers to next officer to check; ensuring check has been carried out by the 15th day of each month). Management of gift register. Organising the guest list for the annual Queens Birthday Party (QBP), issuing invitations and updating databases.
- Leave cover for the Executive Assistant to the Consul General. Shared responsibility with EA for management of incoming and outgoing diplomatic bags.
Essential on arrival:
IT capability including Microsoft Word, Excel, Access, Power point and Outlook.
