Main purpose of job:

The Information Technology/Administrative assistant has the responsibility of effectively dealing with the day-to-day IT and related administrative operational requests providing reactive and proactive general support to users on the available ICT systems and administrative related processes. The successful candidate will be required to provide efficient support to the Brazil Network Corporate Services team to deliver its objectives; primarily in the British Consulate in Sao Paulo but also to provide remote support to the other Brazil Network posts. He/she will work closely with and be supported by other members of the IT team based in Brasilia and Rio de Janeiro.  


Roles and responsibilities:

  • Promptly handle assigned issues and tasks through internal systems.
  • Ensure excellent customer service and teamwork practices at all times.
  • Perform basic office support functions when not supporting the ICT team.
  • Carry out ad-hoc daily and weekly tasks as assigned by Head of Corporate Services in support of departmental operations and objectives.
  • Act as the local IT Systems Officer, providing support and first line response to general IT enquiries from users.
  • Provide IT support to users at post – Including Other Government Department users based in the Consulate.
  • Effectively escalate ICT related issues to more senior managers and the helpdesk in the United Kingdom when providing first line support to users at post.
  • Undertake regular preventive ICT maintenance to official equipment.
  • Undertake regular and ad hoc approved upgrades to the system.
  • Ensure all FCO ICT security procedures are complied with.
  • Undertake effective fault management.
  • Review, procure and install approved hardware.
  • Provide portable equipment support (e.g., PDAs, Tablets, Laptops, Mobile phones).
  • Move existing operating hardware and reinstalling it at different locations (when approved/required).
  • Manage all local software licences and ensure that they are in compliance with legal and commercial requirements (where appropriate).
  • Coordinate the work of the different available systems Super Users (where appropriate/required).
  • Proactively disseminate relevant ICT related information to users including policies and guidances;
  • Understand the core FCO business functions and be in a position to advise on the best use of ICT to users.
  • Provide ICT related administrative tasks including keeping ICT hardware/software inventory up-to-date and relevant ICT documentation records.
  • Manage IT office suppliers (including stock levels and purchasing) as guided by the line manager.
  • Provide other ad-hoc administrative tasks when required.
  • Regularly test the crisis equipment including satellite phones and bags.
  • Help maintain the Business Continuity Plan including the relevant equipment, carrying out periodic tests of the Plan.  
  • The IT Support Officer’s position and balance of responsibilities is likely to change, particularly during the first six months. 
  • Previous experience, working as an IT Support Officer for a medium to large organisation.
  • Good knowledge level on the Microsoft Windows and Microsoft Office Package
  • Ongoing or complete university degree on any ICT related course 
  • Proven advanced written and spoken English and Portuguese
  • Certificates on Microsoft Windows technologies.
  • Microsoft Teams skills.
  • Office 365 skills.

Internal training of specific technology tools and processes will be provided.    


Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount. 

Working Patterns: Full-time (36 hrs/week), in-person. Monday – Thursday: 08:30 – 16:45, Friday: 08:30 – 16:30.
