Main purpose of job:

The British Consulate-General (BCG) in Miami is seeking a highly motivated Corporate Services Assistant (CSA) to provide administrative support to British Consulate General team based in Miami and in particular in relation to the Management of the Residence of the Consul General. The jobholder will support the Corporate Services Manager with Finance, billing, Protocol, events and Facilities functions.  

Roles and responsibilities:

  • Estates Management; maintenance tasks, inventories and records, supervision and selection of adhoc contractors including cleaning, gardening and catering. 
  • Liaison with EA and the wider team on all Residence and Office events, tasks would include planning the event, liaising with other teams, ensure IT, furnishings etc in place. 
  • Efficient management of Residence and office supplies including monitoring and forecasting expenditure, liaison with CSM on larger household items
  • Reconcile Residence account/expenses; review Health and Safety, help identify and plan works as needed and provide supervision whilst ensuring minimum disruption to CG.
  • Ensure Residence is fit to be a fall back location for business continuity purposes including testing of equipment and ensure rooms are ready for official visitors (including checking bed linen, towels etc) and managed properly at all times.
  • Guidance - keep all guidance documents up-to-date as per CSM’s request, ensure the Residence handbook and other related documents are maintained at all times.
  • Repairs and Liaison with Landlords & Vendors at the rental properties; guided by CSM including FCO Property maintenance database, furniture inventories, office inventory.
  • Office and residence cleaners management and liaison. 
  • COLA returns. 
  • Visitor handling. 
  • Support CSO with IT, equipment, vendor management, payments and orders as needed.
  • Provide costings for income generation at Residence and handle cost recovery when needed.
  • Other adhoc requests by the CG and CSM.

Resources managed:

  • You will have line management of 2 staff.
  • You will have oversight for a local budget of £160,000 and ad hoc projects based funds.   
  • Oversight of properties including Office and Residence in Miami, agency office in Orlando and seven rental properties in Miami.

Essential Criteria:

  • A minimum of 2+ years of relevant work experience.
  • Excellent communication skills, both written and oral, including the ability to communicate at all levels.
  • Excellent problem solving skills, sound judgement, common sense and the ability to remain calm and composed under pressure.
  • Strong interpersonal skills - a team player with the ability to work with others and integrate fully into a wider network.
  • Attention to detail and ability to take ownership and make decisions.
  • Working knowledge of Microsoft Office programmes.

Language: Spanish Not essential but desirable

Desirable Criteria:

  • Experience of working in the public sector.
  • Knowledge/Experience of UK Government.

Working patterns: 

This role is 20 hours a week, but does (not) require set working hours each day.  We can accommodate a varied working pattern.
