Main purpose of job

Working as part of a small team in the DIT HK Portfolio Management Office, the successful candidate will deliver professional, high-profile events across various business sectors. The post holder will also support the organisation and delivery of Ministerial and other VIP visit programmes, as well as working across the whole of the DIT HK team to help manage its information well in order to promote more effective working practices.

Roles and responsibilities

Events: leading on the organisation and delivery of cross-sector events and providing support to colleagues delivering events as part of High Value Campaigns; supporting senior officers to deliver events that address our objectives and targets; ensuring logistics run smoothly; developing and using a best practice toolkit for events in Hong Kong and Macao. The post holder will also provide some support for events as part of the GREAT campaign and festival planned for March 2018.  Working closely with the DIT HK Marketing Manager to ensure effective PR and media coverage of visits and events.


Visits: co-ordinating the programme of visits; liaison with the DIT HK team and UK officials and ministerial officers to put together strong programmes for visitors which support our objectives and targets; arranging logistics for visits; providing on-the-ground support during visits. The post holder will support the senior officer in the team responsible for the visit to ensure everything is in place and runs to plan. In some cases, the post holder will also have the opportunity to lead on the visit themselves.


Information management: monitoring and reporting on performance of the DIT team against its targets, objectives, budgets and timelines; collating and communicating information on key meetings, visits and events to the consulate and wider region; leading on asset management and continuity planning for the team.


Finance: Developing and applying a good understanding of budgetary and procurement rules so as to be able to raise and manage Purchase Orders for events and support other staff across the DIT team in using the FCO Purchase to Pay (P2P) process efficiently and effectively.


Essential on arrival

•           Strong numeracy and IT skills (particularly Word, Excel);

•           High self motivation, a flexible and resilient attitude, with a strong commitment to deliver multiple projects often within tight deadlines, without supervision;

•           Experience in visit/ event organisation and/ or information management;

•           A high standard of written and spoken English equivalent to a native speaker with the ability to produce and edit high quality written English.

•           Experience in project/ programme management is desirable.
