Main purpose of job:

The British Embassy Bangkok is a large diplomatic mission of around 140 staff delivering a dynamic and rapidly expanding programme of activity in support of the UK’s objectives including on prosperity, trade, security, open societies, consular services and law enforcement. This is an exciting opportunity to join our diverse team. 

Providing support to Corporate Services Finance. Key areas of responsibility include assisting the Senior CSO – Finance in cash management and procurement including providing guidance, answering enquiries regarding process and policy, working to ensure audit and best practice are followed, and being able to identify problems and review actions needed to improve or correct processes also form part of the role. The jobholder will also work on reconciliations, official bank liaison, and local engaged staff salary payment, reporting, and supporting the Head of Corporate Services in the Supplier Maintenance Form review process.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Providing support to Senior CSO- Finance in payroll process.
  • Running Embassy cash office by processing all cashbox payments ensuring strict controls and paperwork are maintained and responsible for monthly Network Post Accounting (NPA) report.
  • Liaison with the bank on various matters including a bank reconciliation and maintaining the Embassy’s bank signatories’ list.
  • Supporting purchase to pay (P2P) process at Post by acting as a GPC holder and Requisitioner, and work closely with GTPC Manila on resolving any issues and following the SLA agreement.
  • Reviewing Supplier Maintenance Forms and supporting documents ensuring adherence to guidelines before providing to Head of Corporate Services for final review and submission to the GTPC and lead on follow-up as appropriate if data is incorrect or more information is required.
  • Conducting finance induction for new staff.
  • Supporting Senior CSO- Finance in providing effective periodic training and comprehensive guidance in finance and procurement process across the Embassy to increase financial competency and awareness of staff and ensure that they understand financial processes relevant to their role.
  • Responsible for monthly/annual payment of Corporate Services invoices including mobile phone bill (AIS), internet bill (CS Loxinfo), CSS Messenger, cash security services (Guardforce), language translation, legal specialist services, annual health check-up, annual local staff flu vaccination, and others as required.
  • Managing Distribution Set and processing monthly payment bill for Embassy mobile phones/sim cards and coordinating with provider for service issues.
  • Supporting the Bangkok language officer with setting up language contracts and processing payments.
  • Processing the payments for agency staff recruitment in co-ordination with CSO - HR.
  • Maintain Distribution Set and process invoice payment for UKB staff children’s schooling in co-ordination with the Community Liaison Officers (CLO).
  • Supporting Gurkhas with application and payment for return flights to Nepal.
  • Monitoring and accounting for King’s Birthday Party (KBP) sponsorship and expenditure.
  • Building and maintaining effective working relationships with GTPC, Finance Hub, HR/Payroll Hub, and other external stakeholders including local banking providers and suppliers.
  • Deputising for Senior Corporate Officer – Finance.
  • Back up Protocol Officer; visit immigration and MFA to process visa applications and diplomatic accreditation when necessary.

In times of peak operation demand, work flexibly within the Section and within the Embassy 
 
All staff will be expected to make a corporate contribution to the smooth running of the British Embassy, either through a committee membership or another voluntary role.

  • Proficient in the use of MS Office, specifically Excel
  • Highly motivated and is comfortable taking initiative
  • Ability to prioritise in a fast-paced work environment and strong self-organisation
  • Good financial / numerical skills and the ability to assess, interpret and report financial data
  • Attention to detail and ability to deliver highly accurate work
  • Ability to think outside of the box when solving a problem
  • An effective communicator, both orally and in writing, and a team player
  • Good IT skills, experience in Oracle based systems would be an advantage
  • Highly adaptable, flexible professional who embraces team work and also can work independently

WORKING PATTERNS:

This is a full-time role - 36 hours/week, Monday to Friday.

We are currently operating a hybrid working pattern (some time working in the office, some time working from home).

In crisis/emergency situations you may need to work as required to support the Embassy response, sometimes on a shift pattern working which may result in unsociable hours and/or weekend working.
