The British Embassy in Chisinau is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to employ a Projects Assistant to join the Embassy's team.

The selected candidate will assist the Projects Officer and Projects Manager with the planning, development and delivery of the various programmes and projects funded by Her Majesty's Government (HMG).

Main Duties and Responsibilities:

  • Provide administrative and logistical support for Projects work;
  • Provide input to narrative and financial reporting and evaluation of the various projects; conduct monitoring visits to implementers;
  • Keep accurate records of budget spend, carry out budgeting and other payment/procurement related tasks;
  • Setting up new suppliers on Post's financial computer system, requisitioning, receiving and preparing vouchers;
  • Profiling, amendment and forecasting of projects' budgets in FCO financial computer systems;
  • Chasing invoices and ensuring these are correctly formatted;
  • Maintain and orderly, up-to-date filing system and store all relevant documents in the correct manner and weeding files, when necessary;
  • Work with the Projects Officer and Projects Manager to write articles on projects. Post articles on the Embassy website and other social medias (e.g. Facebook);
  • Ensure that implementing partners comply with Post visibility rules;
  • Ensure the promotion of the results, events, articles of the CSSF, GGF and BPB project implementers on the social media channels of the Post;
  • Liaison with implementers and project partners;
  • Maintain communication with the beneficiaries of the Embassy's programmes and projects, including after a project has been completed (e.g. by helping deliver alumni events);
  • Collaborate with the Communication Assistant on issues/subjects related to social media and Embassy website (e.g. drafting/posting messages/articles on Embassy Facebook page and website);
  • In the absence of Communication Assistant, act as back-up for social media posting and monitoring key developments in the media;
  • Provide inputs and comments to monthly project meeting; contribute to the selection of funded projects;

 

  • Enthusiastic person with excellent listening and communication skills. Ability to engage with both locals and internationals on a variety of levels;
  • Full professional proficiency in written and spoken English, Romanian and Russian;
  • Previous project administration or similar role. An experienced problem solver;
  • Experience of budgeting and procurement;
  • Well organised, punctual, excellent planning and prioritisation skills. Able to manage own workload effectively to meet (sometimes competing) deadlines.
  • IT-literate - Able to use MS Office - particularly Excel and Outlook and capable of learning to use new project-management systems;
  • Familiar with key social media sites (Facebook, Twitter, Youtube, Odnoklasniki, Vkontakte, etc.)
