The British Embassy Abu Dhabi has a vacancy for a Regional Business Support Officer for UK Visas and Immigration (UKVI).

The jobholder will ensure full administrative support is given to the UKVI Visa Operations in the Middle East, North Africa, Central Asia, Pakistan, and Turkey (MENACAPT) region and provide administrative support to the Regional Business Manager and Regional Secretariat.


Duties and responsibilities:

  • Support the Regional Business Manager with the administration of local budget and profiling of the delegated regional budget to ensure that accurate records of spend and committed funds are maintained and to ensure that all spend is within budget and properly authorised. Check reports for accuracy and work closely with UKVI Finance Unit and regional FCO finance teams.
  • Assist the Regional Business Manager with MENACAPT resource figures, regional headcount statistics, and staff count collation and returns. Maintain accurate staffing records on CRS for the region and assist the Regional Business Manager in the administration and logistics of maintaining seasonal relief (visas, accommodation, and transport).
  • Assist the Regional Secretariat in the administration and collation of information for returns/ briefings/ Reward & Recognition programme. Monitor and ensure payments related to the staff bonus system. Assist with collation of weekly/ monthly returns.
  • Deputy imprest holder. Ensuring full records for the section imprest, checking bill payments/ receipts and preparing for monthly reconciliation.
  • Co-ordinating regional responses and inputs for returns, plans and follow up on report/ inspection recommendations.
  • Liaison between Corporate Services/ Estates and Post Security regarding Visa Section visitors (Short-Term Entry Clearance Officers, regional visitors, and UK visitors), such as travel arrangements, accommodation booking, visitor and staff passes, security clearance, and induction programmes.
  • Liaison with Abu Dhabi Training/ Induction team on the arrival of UK-based staff and newly recruited local staff. Liaison with IT Support Officer (ITSO) on creation and deletion of user accounts.
  • Regularly order, monitor, and maintain supplies of stationery and equipment, and monitor the condition of the office and arrange necessary maintenance and repairs with the Estates Team.
  • Raise and review supply requisitions on the in-house finance and procurement management tool (Prism) and via corporate credit card (CCC), as required.
  • Monitor systems and processes, collate information, and provide feedback for managers.
  • Promote and uphold high professional standards, leading by example when dealing with enquiries and answering correspondence relating business support activity.

  • Has worked in UKVI for a minimum 12 months within the last two years.
  • Understanding of UKVI section and operation.

  • Proven record of organisational ability. Ability to prioritise own workload and meet deadlines under pressure, without compromising the quality of the work.
  • Excellent customer service skills. Demonstrates courtesy and consideration in dealing with stakeholders.
  • Excellent communication skills in English, both verbal and spoken. Able to express ideas and messages clearly and concisely, both orally and in written communication.
  • Very good level of IT skills and literacy in Microsoft Office applications, particularly MS Word and Excel.

The Embassy aims to offer an attractive working environment and remuneration package for this role, including: 25 days of annual leave per annum, on-site swimming pool, gym, and sports facilities.

Salary is at AED 11,108 per month.

There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.

Conditioned working hours are 38 hours per week. Standard working hours are from 07:30 to 15:06, including a lunch break of 36 minutes, from Sunday to Thursday. However, there may be a requirement for working on Saturday with a compensatory day off during the week. There is also a requirement for working a late shift, which is currently 10:00 to 17:00, for one week in every eight.

Eligibility:

Applicants must also be available to work in a full-time capacity. This is not a part-time position.
