Main purpose of job:

The British Embassy Bamako is part of a worldwide network, representing British political, economic, and consular interests overseas. The Corporate Services Team is key in supporting the whole Embassy.  This role is an important one to assist in ensuring the Team meets its Key Performance Indicators (KPIs) for spend and procurement of goods or services as well as building processes important to inform future spend. You will report directly to the Finance Assistant.


Roles and responsibilities:

Your role will be to contribute to the effectiveness and efficiency of the Embassy's finances and ensure that basic services function properly across the embassy. You will help the Finance Assistant in developing and improving day-to-day systems for financial management.  You will work closely with processing teams in Manila and Pretoria.

Your main duties will include:

  • Liaising with suppliers to obtain quotes and raise requisitions and purchase orders
  • Payment of invoices by cheque where applicable
  • Preparation of time sheets in readiness for payment, meeting deadlines as necessary
  • Supervising inventory of office equipment, for instance phones, stationery, SIM cards and cleaning materials
  • Liaising with printers for large events and printed embassy materials
  • Journals for all internal embassy events and payment of extra staff invoices;
  • Working closely with the processing centres in Manila and Pretoria
  • Record keeping/filing of paperwork in accordance with Embassy guidelines;
  • Back up for the Finance Assistant, including cash handling
  • Previous experience in a finance environment
  • Numerate and proficient in IT including Microsoft Word (essential), Excel (essential) and Oracle (desirable). 
  • Excellent inter-personal skills. Able to work with a diverse range of service providers.
  • Strong organisational skills, managing financial information flow, where necessary achieving a sensible balance between competing priorities.
  • Ability to work under pressure and as part of a team.
  • Capacity to deal patiently and effectively in a wide range of situations, including dealing with the public and knowing when to seek guidance.
  • Previous experience of working for an Embassy or other international organisation
  • Previous cash handling experience

Working patterns:

Embassy working hours are 0800-1630 Mon-Thu and 0800-1230 Fri.

This position may require the occupant to work longer hours for which time of in lieu will normally be taken.
