Main purpose of job

To provide transactional support to the Corporate Services Team.

What will the jobholder be expected to achieve?

  • Deliver first class customer service
  • Weekly upload of distribution sets for utilities
  • Monthly upload of distributions sets for property rentals
  • Prepare payments for school fees
  • Prepare requisitions 
  • Monitor the Protocol mailbox for specific hotel bookings
  • Monthly receipting of the internal database (Prism) and Long Term Purchase Orders
  • Prepare petrol usage breakdown and cascade to the Embassy departments
  • Monitor and maintain use of the Transit Flat
  • Control stationery stocks, ordering and supplies
  • Manage gym membership
  • Manage float inventory; issuing and collecting as required
  • Any other clerical duties required to support the team

Essential on arrival:

  • Must possess a minimum of a High School degree or equivalent
  • Working knowledge of Microsoft Office suite especially Outlook, Excel and Word
  • Excellent team player skills
  • Exceptional organisational and time management skills

Desirable experience:

  • Working in a diplomatic mission or large diverse organisation
  • Knowledge of Microsoft Teams would be an asset
