Residence Coordinator

The British Embassy in Budapest is part of a worldwide network, representing British political, economic, commercial and consular interests overseas. We are currently looking for a Residence Manager.

The successful candidate will be responsible for the day to day management of the Ambassador’s Designated Residence in Budapest, including Events management at the Residence, management of the Residence estate including the condition of the building and health and safety aspects related to the site, and staff management of the Residence team that comprises a chef and housekeeping staff as well as supervision of casual staff as needed.  The Residence Manager is a key member of the Executive Office to the Embassy, working closely with the Executive Assistant and team on the Ambassador’s diary, events and official visits.

The Residence Manager will be provided learning and development opportunities through job shadowing and continuous line management follow-up.

Main roles and responsibilities:

Events management – Working closely with the Embassy’s Events Officer and Executive Assistant, support the delivery of events at the Residence, both during the day and at evenings, by supervising event delivery, catering, standards and ensuring the appropriate levels of staffing at receptions and events;

Stewarding responsibilities and staff management – Ensure the appropriate level of service at events and managing serving staff, meeting and greeting visitors to the Residence and serving refreshments; managing the small Residence Team to ensure staff carry out their roles and responsibilities in an efficient and effective manner, arranging for additional casual staff as required;

Resource and site management - supervising the expenditure related to events management at the Residence and liaising with both internal and external contacts to ensure value for money, managing suppliers and ensuring appropriate stocks are maintained;

Residence estate management – Ensure the estate and equipment is in good working order, and requesting repairs and replacements in a timely manner. First point of contact for health and safety issues at the Residence, including housekeeping, food hygiene, first aid and fire safety.

  • Fluency at a C2 level in Hungarian according to CEFR Framework *

  • Fluency at B2/C1 level in English according to CEFR Framework *

  • Strong oral and written skills in both Hungarian and English

  • Evidence of strong organisational, interpersonal and communication skills, with the ability to deal with a wide range of stakeholders

  • Demonstrate excellent customer focus and a strong focus on delivering results

  • Ability to work flexibly, depending on the needs of the Ambassador and Embassy team

  • Availability to work flexible hours if required

  • 2 years experience of managing a team in an events management role, with a focus on the ability to motivate and lead

  • Experience of stewarding and serving at dinners and events

  • Knowledge of Microsoft Office applications (Word, Excel, Outlook and Explorer)

  • Experience in working and managing budgets and a range of contractors, ensuring they deliver on time and on budget to the required specification;

  • Event management, including effective budget forecasting and monitoring;

  • Experience of Residence management;

  • Knowledge of database systems;

  • Knowledge of the Oracle financial management system (or similar) with experience of requisitioning.

This is a full-time position of 5 days (35 hours net per week) for a fixed-term contract with the possibility of extension by mutual agreement.

The successful candidate will be subject to confirmation of a background check and security clearance. You must have pre-existing work authorisation for the country you live in / take this position on in order to apply.
