The British Embassy, Amman is seeking a highly motivated and enthusiastic individual for the position of Visits Officer, Grade – B3 (L).

Main Purpose of the job:

Working from the Embassy in Amman, the successful candidate will primarily be responsible for designing and delivering all logistics around senior visits to Jordan. In particular, the jobholder will lead on delivery of visits by British Ministers, senior officials, members of the Royal family, and other VIPs to Jordan.

Main Responsibilities:

Working closely with the Ambassador, Deputy Head of Mission (DHM), Political Section, Corporate Services (CS) Section, and colleagues across the Embassy, as well as Government Departments in the UK, the jobholder will need to engage confidently and effectively with people at all levels, including key contacts within the Jordanian Government. Excellent problem solving and judgement skills, a keen eye for detail and the ability to deliver results quickly, including under pressure, are essential, as the jobholder will frequently need to respond to unforeseen obstacles, including last minute changes to visit programmes.

This role also offers the opportunity to be involved in some areas of Political Section policy work, in support of the team. The jobholder will support delivery against a number of policy objectives, responding to tasking and providing updates to London.

Visits management (75%): Logistics lead for VIP visits and coordination of ministerial programmes, and embassy outreach visits to areas outside Amman, specifically:

  • Developing individual visit programmes, including providing advice on locations, meetings, project visits, and media opportunities.
  • Management of logistics and protocol arrangements around visits including preparation of Note Verbales (in English and Arabic), the creation of transport schedules and arranging accommodation;
  • Liaison with the Jordanian Ministry of Foreign Affairs (MFA) and other government departments to secure host invitation letters, set up meetings and agree protocol and security arrangements, which may, on occasion, require working outside normal office hours.
  • Working closely with the Embassy Protocol Team on arrival logistics to ensure they can facilitate a smooth arrival process at the Airport VIP Lounge
  • Working closely with HMA/DHM Outer office, with regular communication to keep them informed of visit arrangements and development of the programme;
  • Liaison with other Embassy teams regarding visit arrangements, particularly Security, Transport and Comms teams;
  • Develop contacts and ideas, and arrange programmes and logistics for regular embassy visits to towns and governorates in Jordan outside Amman.
  • Monitoring and managing the budget for visits ensuring arrangements stay in line with expenditure guidelines;
  • Monitor and improve Embassy visit policy, liaising with and agreeing our assistance with London Protocol Department.

Policy (10%): Supporting the Political Section on a limited portfolio of issues and policy-related duties:

  • Working closely with DFID on climate change issues, a UK policy priority, and engaging with relevant Jordanian Ministries on GoJ progress on climate change commitments, in particular energy and water.
  • Maintaining a contacts database.

Information management (10%) - Responsibility for overall Embassy Information Management handling and best practice as Information Management Officer.

Finance (5%) – Lead on all external payments for political team and ensure the team’s compliance with our Purchase to Pay (P2P) process.

  • Strong interpersonal skills and proven ability to work both autonomously and in a team, and to work effectively with clients, including at senior levels

Working Hours and Remuneration:

The position is full-time, at 37 hours a week, the incumbent needs to be flexible to suit the role of the job, which may include some out of hours working. This position is for a Maternity Cover for 6 months.

Pay is on the Embassy B3 (L) scale, with a salary of JOD 1577 per month. The package includes a good level of health insurance and a friendly, English-speaking work environment. We offer opportunities to develop professional skills through our Learning & Development offer. Leave entitlement is 25 days (on pro rata basis) plus 14 public holidays.

The successful candidate will be subject to a 90-day probationary period.

  • Have (or be willing to obtain) the right to live and work in Jordan. Candidate's residence permit and work permit, and the expense to obtain them, will be their own responsibility.
