To support Head of the Trade Team and Head of Operations on cross-sector activity, including business planning and performance management, and providing PA support to the Regional Director of DIT North East Asia, including diary management and travel arrangements.

Trade Team Support

  • Support on ad-hoc/cross-sector events - Hands-on logistical support in booking event venues, co-ordinating Embassy transport with colleagues, arranging invitations and guest list by using ‘Experian’ invitation delivery system, co-ordinating with catering suppliers, agreeing and processing payments, organising and supporting physical set-up if required – e.g. sourcing marketing banners from Marketing Team. 
  • Support on process chargeable work (Overseas Market Introduction Service (OMIS)) as Overseas Manager - assigning the OMIS order to the relevant team and release the OMIS report under the OMIS system.
  • Support on Trade Team budget processes
  • Support Performance Reporting: collect  data on delivery against targets and analyse pipeline opportunities by using in-house system 
  • Conduct basic research and fact checking for presentation or speeches on key export topics for the teams
  • Support on regional/cross-sector missions for DIT Trade Team – Hands-on logistical support in arranging transport, accommodation for visiting trade missions of UK companies, booking venues of briefing sessions and receptions, arranging invitations and producing guest lists, co-ordinating with catering suppliers, agreeing and processing payments, organising and supporting physical set-up if required – e.g. sourcing marketing banners from Marketing Team and managing a reception desk during events.   

Personal Assistant Support to the Regional DIT Director

  • Diary management – setting up meetings and co-ordinating diary
  • Travel arrangement – including working out logistics and booking accordingly

Support for Head of Operations in managing business planning and assessing performance against business targets for Japan and the overall NE Asia Region

  • Support on business planning through collection of resource usage and completion of budget templates to instructions
  • Performing other activities as required by HQ and the Director or First Secretaries
  • Fluent in English (IELTS band 7 or TOEIC 875 points or above or equivalent), with experience of working in an English speaking environment.
  • Japanese language skills (JLPT level 2 or equivalent).
  • Working in Japan and UK commercial environment
  • Strong IT skills, (including standard Microsoft Office programmes).
