View Vacancy - SPECIAL ASSISTANT TO AMBASSADOR AND EVENTS ORGANISER (08/17 CKY)
Main purpose of job:
The main purpose of the job is to provide all organisational and policy support to the Ambassador, and to lead on the detailed organisation and delivery of all Embassy events in order to raise awareness and increase the impact of the United Kingdom in Guinea.
Roles and responsibilities:
1) Protocol:
- Organisation of the Ambassador and Deputy Ambassador’s diary and meetings
- Planning of and participation in Embassy visits in and outside of Conakry
- Management of all protocol issues for the Embassy
2) Events manager:
- Detailed organisation and delivery of all Embassy events, and attendance at those events as required
3) Policy support:
- Writing of official letters and communications from the Embassy
- Translations from English to French
- Assistance on monitoring and reporting on media and political affairs
4) IT support:
- Basic support of IT equipment through contact with technical advisers in the UK
- Assistance to other staff in use of IT equipment
5) Learning and development:
- Coordination and implementation of Embassy learning and development programme for all Embassy staff
6) Representation of the United Kingdom at external events
- in the absence of the Ambassador/Deputy Head of Mission
7) Support all other Embassy work where needed
- including consular and accounts
- Excellent and proven organisational skills.
- Excellent and proven interpersonal skills.
- Fluent French; English to a high standard (oral, listening, reading and writing – this will be tested).
- University (Bachelors) degree in a relevant subject.
- Advanced knowledge of Microsoft Word, Excel, Outlook, Power Point.
- Advanced knowledge of Social Media.
- Numerical and budget management abilities.
- Excellent interpersonal communication and organisational skills.
- Ability to work effectively under tight deadlines.
- Resourcefulness in solving problems.
- Flexible.
- Superior professionalism and judgment.
- Strong work ethic.
- 3 years experience in a position similar to that advertised.
- Proven analysis and reporting skills.
Learning and development opportunities:
- The position offers much opportunity for learning and development on the job, including through contact with colleagues, relevant contacts and attendance at events.
- Training may also be through courses delivered by the Regional L&D centre.
- On-line learning will always be accessible and time will be available for this.
Increasing the impact of our work to build the relationship between Guinea and the UK is a top Embassy priority.
