The Defence Section in British High Commission Kuala Lumpur is currently looking for an Executive Assistant who will provide support to Defence Adviser (DA) and Assistant Defence Adviser (ADA) in strengthening and developing bilateral defence relationships in Malaysia. 

The Executive Assistant will also support ADA to obtain military aircraft/ships/units Diplomatic Clearances from the Malaysian Ministry of Foreign Affairs on behalf of the Ministry of Defence and Foreign Commonwealth Office. S/He will provide administrative support to the Defence Adviser, including: preparation/drafting of emails, letters, presentations; handling of sensitive material – including classified material and personnel reports; maintaining a hospitality book/gift register; assist with the organisation of the annual Remembrance Service and other activities as required. 

The Jobholder will maintain and organise the Defence Section diary and arrange appointments on behalf of the DA. Ensure the Driver is updated daily on the programme for the Defence Section and in particular the DA. Arrange internal and external visits on behalf of the Defence Section; book hotels, accommodation and hire cars. Issue and process invitations for official functions and confirm attendance.

  • The successful candidate should hold one of the following passports: UK, US, Canada, Australia, New Zealand.
  • Degree level and similar experience in a team support or Personal Assistant / Secretary / Executive Assistant role
  • A proven track record of working in a fast paced office in a corporate environment whether a foreign mission or international organisation /company.
  • Excellent administrative skills, including proficiency in Microsoft Office applications, use of email, the internet, and ability to write effectively.
  • A self-starter with good organisation skills, able to work on their own initiative to deliver high quality work to tight deadlines;
  • Excellent communication and interpersonal skills, including both written and spoken English;
  • Discretion and good judgement underlined by an ability to work in a confidential environment.
  • Knowledge of Bahasa Malaysia would be an advantage
