Corporate Services Support

The British High Commission Port Moresby is part of the Foreign and Commonwealth Office (FCO)’s world-wide network of 270 Posts, representing British political, military, economic, visa and consular interests overseas. We are currently looking to recruit a Consular and Corporate Services Officer 

To provide front line assistance to British Nationals in Distress.  You will be responsible for dealing with customers at the counter, by phone and e-mail who find themselves in difficulty in Papua New Guinea and require assistance.  This may, on occasion, involve dealing with highly emotive or distressed customers.  You will also manage the reception at the High Commission and be the first point of contact for visitors to the High Commission.  You will work closely with VFS who host a visa clinic within the High Commission once a month, twice during peak season. 

You will also provide ad-hoc support to the Corporate Service team, overseeing  maintaining post reports, stationery stocks, managing routine monthly contracts and preparing purchase orders.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Consular (75%)

  • Provide consular assistance to customers on a range of issues – from lost travel documents and stolen items to more serious cases such as assisting customers displaying mental health issues.
  • Responsibility for upkeep of waiting area and information displayed in it
  • Maintaining consular records in accordance with policy
  • Providing crisis awareness and assistance during emergency situations
  • Actively engage with Consular colleagues in the South Pacific Network to share best practice, collaborate on projects, and further develop consular skills.
  • Ensure monthly travel advice is kept up to date

Corporate Services Officer (15%)

  • Maintain post HR records
  • Oversee induction of new members of staff and provide support as necessary
  • Maintain post report and Geographical Expenditure Guide
  • Prepare purchase order requests when requested to do so
  • Maintain stationary stock
  • Work closely with external contractors delivering a monthly service i.e. window cleaning, pest control

Receptionist (10%)

  • Provide a full reception and telephony service
  • Maintain the High Commission inbox and respond to e-mail enquiries from members of the public
  • Work with VFS to deliver a monthly visa clinic and inform applicants when passports are ready for collection
  • Update staff phone lists, hotels, airline companies
  • Other ad hoc duties as required
  • Make hotel reservations for inward visitors

Strong organisational and communication skills

Previous customer service experience

Proficiency in Microsoft Windows and MS office
