Background: 

This position will provide administrative support to the Air Staff within the British Embassy, as well as the wider Royal Air Force Exchange Officer footprint within the United States of America. The post’s Line Manager will be Air 2. 

 

Duties and Responsibilities:

  • Provision of administrative support to the Air Staff office within the British Embassywhich involves the following:
  • Administering the RAF Exchange Officer program including maintenance of the EO database. In liaison with UK and US elements to ensure all personnel details are up to date and that all Mid-Tour and End-of-Tour reports are completed on time. Staffing of all EO candidate packs through both the UK and USAF/USN and USMC International Programme offices. Administration of all documentation, including visas, relating to Third Country Deployments outside of the USA or NATO countries.
  • Provide administrative support to all visits conducted by the Assistant Air Attaché and Air Staff officers. This is to include making appropriate transport, accommodation and hosting bookings, liaison with local US authorities to secure access and agree visit programs and production of appropriate briefing pack.
  • Collate and administer all Air related visit requests to the USA including sporting and adventure training related submissions.
  • Administer the RAF Welfare & RAF Benevolent Funds to ensure all payments to beneficiaries are made and the necessary returns are made to the UK charities.
  • Assist with the co-ordination and administration of all Air Staff conferences, briefings and meetings. Tasks may include production of draft business case, organising programs and itineraries, coordinating guest lists and making associated travel and accommodation      arrangements.
  • Act as the central contact and co-ordination for RAF promotional material including accounting for the sale of RAF promotional items and RAF ‘coins’.
  • Manage the RAF MOSS/Meridio Microsoft SharePoint Team Site to ensure integrity of the file plan and maintain the web pages on UKGOV.NET to ensure details are up to date and post appropriate announcements.
  • Co-ordination of the induction briefings to all RAF new-arrivals in conjunction with the USA Support Group staffs.
  • Assist Air 2 in his role as Commanding Officer in routine correspondence and support of all disciplinary matters for c800 Service personnel posted to the USA.
  • When necessary, provide temporary cover to the Air Attaché and Assistant Air Attaché when the PSAA is on holiday.
  • Other appropriate administrative tasks as directed by Air 2.
  • 2-3 years of administrative experience in a professional environment.
  • Good knowledge of MS Office packages including Outlook, Word, Excel and Powerpoint.
  • Ability to work in a team environment, as well as on one’s own.
  • Excellent communication skills, both verbal and written.
  • Strong multitasking skills.
