Main purpose of job:

To lead in the organisation of high profile, quality and cutting edge events and visit programmes that promote the UK engagement in India, and in particular Western India (Maharashtra, Goa and Madhya Pradesh).

Roles and responsibilities

The key tasks for the Job Holder are expected to be:

  • Deliver visits and events to the highest quality ensuring strong collaborative working with the BDHC’s protocol and transport teams, the Department of International Trade and Post’s leadership.
  • Ensure the finances associated with such visits are secured, managed, settled and reported properly. Ensure compliance where required with India Network Procurement rules.
  • In managing the Receptionist/Assistant Visits and Events Officer, ensure that our alumni and next generation targets and database are maintained and relevant. Working with Deputy Head of Mission and Head of Communications, ensure quality engagement with these groups is delivered. 
  • Manage the Receptionist and Assistant Visits and Events Officer. Ensure the highest standards of service to visitors and enquirers to BDHC. Act on any received complaints.
  • Track spending accurately and regularly so that events are completed within budget. 
  • To ensure procurement represents value for money and will maintain accurate financial records.

The job holder will lead a new small team and plug a gap in the BDHC Mumbai’s visit and event management. It will be very important that he or she manages not only key stakeholders and companies that will help us deliver events and visits, but also have a collaborative approach to using the incredible experience and skills sets already in place in BDHC – including many who have organised visits and events in the past.

An important part of this relationship is visits bt senior British politicians, officials, business leaders and trade delegations to India, and the organisation of events to promoted aspects of our bilateral relationship. Mumbai is an essential part of the vast majority of visit programmes. The BDHC is required to deliver at the highest quality. Visits matter and we have recently felt we have been under-resourcing this area of work. The BDHC, and its Department for International Trade Team, has been boosting its capacity. The job holder will be the first to hold this position and will, with the receptionist – whose job is being restructured to provide more capacity to the team, will deliver visits and events. The job holder will work closely with the Department for International Trade and, crucially, with the Executive Team working to the Head of Post, the British Deputy High Commissioner – who manage his work, diary and events. He or she will line manage the Receptionist/Assistant Visits and Events Officer and be line managed by the Head of Communications. He or she will have regular access to the Head of Post and his deputy.

 

  • Graduate/Post graduate degree in any discipline.
  • Minimum 3 years of work experience in relevant field.
  • Prior experience of visits and event management.
  • Strong written and verbal communication skills.
  • A positive, polite and helpful manner and have strong customer relations skills.
  • Good organisation skills, ability to stay calm under pressure.
  • Lead the management of any event from planning stage all the way through to delivery.
  • Strong organisational skills and have the confidence to interact with others, including senior figures, to secure meetings or particular outcomes.
  • Strong IT skills, including the use of  Microsoft Office package.

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply.

 

For other than BHC candidates, salary will be INR 53,358 per month together with a 12% provident fund and 6% Superannuation Fund/ Special Allowance.

The British Deputy High Commission (BDHC) in Mumbai is the equivalent of a Consulate General. The Head of Post is the British Deputy High Commissioner, who is the equivalent of a Consul General.  The BDHC is located in the BKC area of the city. It has 100 staff members focussing on areas as diverse as the promotion of the United kingdom as a trade and inward investment partner of choice for India, consular services to British nationals, political relations, media and communications, corporate services, visas for Indian national wishing to go to the UK, science and innovation and relationships with the Indian customs services. It also has subordinate posts in Pune (British Trade Office) and Goa (British Nationals Assistance Office), for which the job holder will also oversee security aspect.
