The British Bilateral Embassy in Belgium is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a highly motivated Administrative Support Officer to provide general administrative support to the Regional Head of the newly created Counter-Terrorism and Extremism Network (CTEN) Hub for Europe.

The successful candidate will be responsible for setting up and maintaining a high quality service which will allow the Head of the Europe Hub to function effectively within the whole region.

The jobholder will need to be a confident self starter who has strong organisational skills, works effectively under pressure and can handle conflicting priorities as the Regional Head is likely travel in a regular basis and to be managing several priority areas at once.

Main responsibilities will include:

  • General organisation of the CTEN Head of Hub’s office;
  • Manage appointments agenda;
  • Set up meetings;
  • Drafting correspondence;
  • Manage and prioritise email correspondence;
  • Organise travel arrangements and itineraries;
  • Work closely with the wider CTEN Europe network on information flows, deadlines and logistics;
    Be the first point of contact, handling a wide range of queries and briefing issues.;
  • Manage resource issues (PRISM accounts), process expenses,manage office equipment and other miscellaneous tasks.

  • Fluency in English (both oral and written);
  • Operational French language or operational Dutch language
  • Ability to work effectively within a team;
  • Strong IT Skills, in particular Microsoft Excel & Word;
  • Willingness and ability to develop new systems & working practices;
  • Proven ability to prioritise and deliver results, meet competing deadlines and work efficiently to tight timescales;
  • Highly organised & have a keen attention to detail;
  • Excellent customer service skills.
  • Operational French or Dutch;
  • Knowledge of Belgium country specifics;
  • Previous experience of diary / database management.

This is a permanent full-time contract for 5 working days (36.25 hours net) per week.

The monthly gross salary for this position is € 2,504.94 A1 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.
