Main purpose of job

Responsible for the input of all invoices (personal and non commercial contract invoices) received by Claims Processing Centre for payment.   The commercial payments officer is also responsible for verifying and processing invoices and associated VAT charges for payment.

Manage the compliance check for all claims submitted through the BDS-US online claims system in accordance with JSP 752 and the Civilian Policy Rules and Guidance.


Roles and responsibilities

  • Verify and input all commercial and non commercial claims against the invoices received within CPC ensuring they are within the contract restrictions and budgetary approval prior to certification and payment. Reject invoices which cannot be input for processing.
  • Input of non-commercial contract invoices which have been authorized by the appropriate budget holder IPT.
  • Request supplier setup for companies which have not been previously paid by BDS-US.
  • Preparation and payment of the BDS-US payroll payment runs including: monthly allotments, supplementary payments, monthly rental allowances and misc payments.
  • Preparation and payment of the monthly house lease payment run.
  • Voucher Custodian/ Archive submission to UK
  • Manage the online claims mailbox, printing electronically received compliance checks, responding to customer queries.
  • Undertake the necessary compliance checks for all claims submitted through the BDS-US online claim system accordance with JSP752 and Civilian Policy Rules and Guidance, seek recovery of any overpayments and refer any inconsistencies to Claims Processing Manager.
  • Maintain and update the compliance database, ensuring all supporting documentation is received or non receipted checks are notified.
  • Release monthly invoices against other government departments, using UK Systems Bill Direct/Iris
  • Monitor the Outstanding Advances, liaising with departments to get evidence to support recoveries or write off’s. Sending recoveries reminders to personnel
  • Report suspected misuse of government monies to the Claims Processing Manager
  • Inform individuals of any erroneous claims and seek recovery action

 

Additional Duties

  • Undertaking Ad-hoc duties as required by Claims Processing/Accounts Payable Manager.
  • To provide leave coverage for Cashier/Accounts Payable Officer as required.
  • Excellent It Skills, Microsoft Office 365 to include Excel and Word

  • 1-3 years Administrative Experience.

  • Experience working in a customer service environment.
