Corporate Services Support

Be part of the Corporate Services Team to provide efficient support to the Vietnam Network colleagues on corporate services and to ensure smooth corporate services operation. Main responsibilities are on accounting, local staff payroll, local staff’s health and welfare, transport, medical/hotel/flight contracts and other tasks as assigned by the Corporate Services Manager.

 

Protocol (20%)

  • Main point of contact with Vietnamese Government Ministries for ID cards, residential permits, duty free books, vehicle registration, visas, custom clearance and other Protocol issues

 

Accounting (60%)

  • Main point of contact between Hub and Post on payment issues
  • Providing guidance and support to staff on claiming, Purchase to Pay process
  • In charge of local staff payroll, personal income tax and social insurance
  • Cash payments, cash receipts and book keeping
  • Management of debts and cash advances
  • In charge of VAT claims, management and payment of school fees, local credit cards, mobile phones, courier bills, taxi bills, parking bills
  • Monitoring FCO exchange rate against the commercial exchange rate
  • Management of the agreed supplier list
  • Banking relation: financial authority letters and bank signatories, facilitation to UK officers on opening personal local bank accounts
  • Prism requisitioning and receiving
  • Supporting the Corporate Services Manager on some financial work: fixed asset returns, expenditure reports, local staff pay reports

 

Other (20%)

  • In charge of local staff medical contracts and flu vaccination
  • Health & Safety administration i.e. fire safety deputy, risk assessments, guidance on Health & Safety to staff and visitors
  • In charge of flight, hotel contracts and Geographical Expense Guides
  • Cover gap in Corporate Services Team in team members’ absence i.e. recruitment support, logistic support to L&D activities
  • Logistical and planning support for VIP visit and other large scale Embassy event
  • In charge of transport and line management two drivers
  • Fluent in written and spoken English and Vietnamese
  • Strong interpersonal and communication skills
  • Ability to learn new procedures and help colleagues to do the same
  • Ability to handle numbers confidently, collate information ensuring accuracy of financial and performance data
  • Ability to response effectively to emergencies
  • Excellent self management, organisational and planning skills
  • Good IT skills, proficiency in using MS Office applications
  • Basic accounting skills
  • Experience in administrative and accounting work
