The British Embassy in Paris is part of a worldwide network, representing British political, economic and consular interests overseas. It is looking for an energetic and enthusiastic person to join us as Executive Assistant to the Head of the Europe & Global Issues Section (EGIS), and Support Officer for the Economic and Social Affairs Team.

EGIS is in the political section of the Embassy, and covers a wide range of policy issues including EU exit, economics, social affairs, innovation, energy and climate change. The Economic and Social Affairs team leads on questions linked to the economy, prosperity, labour markets, health and education.

The successful candidate will help ensure that the section is run effectively, coordinating cross-section activities and events, providing efficient administrative support, and acting as Executive Assistant to the Head of Section (Counsellor). Within the Economic and Social Affairs team, they will lead on office management and support with delivering visits, events and executive support.

The successful candidate will need to be a collaborative team player, able to juggle different types of work and reprioritise at short notice, deliver projects on time and to a high standard, and be at ease dealing with budgets and corporate requirements. We are also looking for someone who is flexible and happy to get involved in different types of projects as needs evolve.

Roles and Responsibilities:

  • Executive Assistant to the Head of Section: Provide effective diary management to optimise the Head of Section’s busy schedule, setting up internal and external meetings with senior French government officials and other contacts. Arrange visit programmes, book travel and provide briefing. Manage the Head of Section’s contacts.

 

  • Section Coordination (reporting to the Head of Section): Manage the section budget and conduct quarterly reviews of financial expenditure. Lead on or contribute to organisation and logistics for public diplomacy events. Act as central point of contact for corporate issues and internal communication. Promote good Knowledge Management practice, maintain contacts database and ensure records are filed correctly. Coordinate section administration e.g. annual leave, and act as secretariat for monthly section meetings.

 

  • Support to the Economic and Social Affairs team: Lead on organisation and logistics for visit programmes for incoming Ministers and government officials. Provide diary and administrative support and general office management. Provide policy support to officers e.g. press monitoring, conducting research, writing briefings and summarising information.

 

  • Ability to communicate effectively in English and French;
  • Establish good relationships with contacts outside the Embassy;
  • Experience working in a Personal Assistant or administrative role;
  • Excellent working knowledge of Microsoft Outlook, Word, Excel and able to learn new IT skills, as required.

 

  • Knowledge of Microsoft SharePoint;
  • Interest in current affairs and understanding of UK and/or French governments.
