Main purpose of job:

The Executive Assistant / Chief of Staff will assist the Consul-General and Deputy Consul-General in promoting the UK’s commercial, economic and political interests in Victoria, South Australia and Tasmania. S/he will lead on organising and delivering networking and events for the Melbourne, the planning and organisation of inward visits, and budgets, recruitment and deployment of internship / work experience programmes and support the team in Canberra with state level communication activity. The position is at the heart of the Melbourne team with the opportunity to be involved in all aspects of the teams work including trade and investments events and political reporting.

Roles and responsibilities / what will the jobholder be expected to achieve?

  • Work with the Consul-General and Deputy Consul-General to prepare and implement stakeholder engagement strategies across priority areas, seeking input from others in the Consulate and across the wider network, including daily administrative support to the Consul-General and Deputy Consul-General to ensure the CG and DCG support the external work of the whole team and that the Consulate is kept updated on their forward diaries and engaged where appropriate in external meetings and their preparation
  • Design and organise programmes of inward visits, including accompanying visitors.
  • Lead on events – logistics, budgets and implementation.
  • Take a lead in Melbourne, working with the Communication team in Canberra, to monitoring social media / media relating to our priorities, identifying opportunities to engage and contributing to the UK in Australia forward look process to communicate the work, priorities and advocacies of the UK at a state level in South Australia, Tasmania and Victoria.
  • Lead on the recruitment and tasking of the various internship and work placement opportunities the Consulate makes available.
  • Contribute to analysis, briefings and recommendations on economic, political and policy developments to the Consul-General and Deputy Consul-General, colleagues in the UK network across Australia and with London as necessary

Resources managed (staff and expenditure):  

  • Consul-General’s annual budget (in consultation with Consul-General)
  • Oversee recruitment, management, mentoring and output of interns / work placement opportunities 

Essential on arrival:

  • Strong evidence of proactive thinking, planing and delivery
  • English language proficiency, spoken and written
  • Relevant administrative skills or office management experience
  • Some knowledge in event management
  • Proficiency in all key Microsoft applications

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

Working patterns:

We are a flexible team including  potential for a regular pattern of work including working from home and different hours on different days depending on needs of the individual and flow of work. But it will need to involve regular time in the Melbourne office.
