The British Embassy in Kazakhstan is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a temporary, full-time Executive Assistant to HM Ambassador & Residence Manager.

Main purpose of job:

  • To provide administrative assistance for the British Ambassador and the Deputy Head of Mission;
  • To manage the Ambassador’s Residence;

Roles and responsibilities:

  • To organise the Ambassador’s telephone calls, diary, correspondence, e-mail, transport arrangements, receptions, calls on officials and ministers and visits to other cities/regions/countries;
  • To translate documents e.g. Ambassador’s speeches, prepare Notes Verbales, letters and other correspondence;
  • To manage the Ambassador’s Residence staff and act as occasional social secretary to the Ambassador’s spouse. To help with receiving guests at the Residence;
  • To arrange guest lists and invitations for major functions, e.g. dinners, receptions, annual Queen’s Birthday Party;
  • To update Embassy’s telephone directory, guest lists, lists of Kazakh officials;
  • Occasional interpreting at meetings with Kazakh officials;
  • To provide administrative assistance to other members of staff (mainly the Deputy Head of Mission);
  • A minimum of two years of relevant work experience, including evidence of secretarial work, engaging stakeholders, customers and partners at all levels;
  • Effective communication, including written and spoken fluency in English and Russian and ability to adapt communication style to different situations;
  • A self-starter that can work well both individually and in a team;
  • Excellent organisational skills with excellent communication skills;
  • Strong team skills, working closely with the wider team to deliver events that meet cross Embassy goals in innovative ways;
  • Good IT skills, including use of MS Word, Excel and Outlook;
  • Knowledge of Kazakh;
  • Experience in hospitality and event management would be an advantage but not essential;
  • Experience using an online accounting system (Oracle based system);

This is a full-time, temporary position of five working days 36 hours net per week, excluding lunch hours, for a contract period of 12 months to cover a maternity leave.

Salary will be USD 973,85 per calendar month (gross). A 13th month salary is payable at the end of the year. Please note that it is the employee’s responsibility to pay individual income tax.

Employees are entitled to 25 working days leave per calendar year at the beginning of service. In addition, the Embassy observes up to 14 days public holidays marking different Kazakh and UK holidays.

The Embassy provides medical insurance for employees and dependants.

The successful candidate will be subject to professional background and security clearance.

Staff recruited locally by the British Embassy in Kazakhstan is subject to Terms and Conditions of Service based on local Kazakhstan employment law.
