The British Embassy Warsaw is looking to recruit a full-time Country Based Staff Assistant for the HM Revenue & Customs (HMRC) liaison team based in Poland. HMRC is the UK’s tax and customs administration and is responsible for collecting tax revenue on behalf of the UK government, making sure that money is available to fund the UK’s public services. HMRC is also charged with closing the tax gap and reducing tax avoidance and evasion.

HMRC’s Fiscal Crime Liaison Officer (FCLO) Network is responsible for facilitating international co-operation with host countries in support of these priorities. The main purpose of the FCLO Assistant role is to support the FCLO in maintaining and strengthening HMRC’s relationship with customs and law enforcement agencies in Poland. The successful candidate will join a dynamic team working at the forefront of the fight against international organised crime, gathering intelligence and ultimately protecting the UK revenue from tobacco and alcohol smuggling, VAT fraud, money laundering and other fiscal crimes.

The AO grade FCLO Assistant will work under the supervision of an EO grade Country Based Staff office manager in the same mission and will be expected to provide essential administrative and logistical support to assist with the day-to-day office administration, including file management, data inputting and translation duties. The jobholder will need to demonstrate excellent organisation skills with a practical approach to multi-tasking and high attention to detail. This is an exciting and challenging role which will enable the jobholder to develop an understanding of HMRC strategic priorities on fiscal crime and how we are working to promote them within country through international collaboration and diplomacy.

Roles and responsibilities:

  • Conduct office administration duties under the instructions of the Fiscal Crime Liaison Officer and EO grade Country Based Staff Assistant in accordance with policy and standard operating procedures; Duties include: records management; vehicle management; maintaining office accounts; maintenance of the asset register and gifts and hospitality register; planning travel and visits; and organising events;
  • Provide language support to the FCLO as directed (both written and spoken), including for exchanges of information and at official meetings and events, by using their command of business and technical Polish (as a fluent speaker); this may require occasional attendance at events outside of normal working hours and travel to meetings with external stakeholders;
  • Support the  EO grade Country Based Staff Assistant in preparing briefings as directed, including regular monthly management reporting;
  • Under the supervision of the  EO grade Country Based Staff Assistant , provide open source research support, especially exploitation of information sources in host language(s);
  • Monitor FCLO office mailbox and telephone so that messages are responded to in a timely fashion and / or directed as required;
  • Support broader corporate/embassy work as directed by the FCLO and the EO grade CBS Assistant, especially during any crisis response.
  • Proficiency in English and Polish (both written and spoken, minimum of C1 level for CEFR framework);
  • Excellent IT skills and competent with Microsoft Office software;
  • Strong interpersonal and communication skills;
  • Excellent organisational skills for document and record management and high attention to detail;
  • Constructive, positive and service orientated attitude;
  • Ability to follow standard operating procedures and written processes, working with minimal supervision, prioritising workloads when required;
  • Ability to respect the confidentiality of work issues and understanding the personal and professional consequences of lapses in security.
  • Experience in similar administrative roles or other previous relevant experience would be an advantage.

This  opportunity is for a full-time fixed-term position of 5 days (37.5 net per week) for 2 years with the possibility of renewal by mutual agreement. 

The gross salary for this position is PLN 6,630 gross per month. Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked. The annual leave entitlement is 20 or 26 days per year pro rata and the Embassy also enjoys a maximum of 14 Polish / UK public holidays per year. 

Please note that staff members are responsible for paying any income tax required by the local law. 

The successful candidate will be subject to the Polish references check and satisfactory completion of a probationary period of three months. 

Candidates must have pre-existing right to live and work in Poland for the duration of the job offer in order to apply. The British Embassy does not sponsor work permits. 

Staff recruited locally by the British Embassy in Warsaw are subject to Terms and Conditions of Service according to Polish employment law. 

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Working patterns: BE Warsaw has a strong commitment to work/life balance. Office hours are 8:30 – 16:30, staff are encouraged to leave on time. Flexi-hours are also possible within the Embassy building’s opening hours (0800-1800).

Due to the nature of HMRC’s work at post, remote working is not an option and the vacancy is for a predominantly office based position, with the opportunity for occasional travel to external events/meetings.
