Who are we? The British Embassy in Paris is part of a worldwide network, representing British political, economic and consular interests overseas and is currently recruiting a Residence Events Officer. Main purpose of the role: A critical role in the British Ambassador’s events team, helping him and the UK make the most of the iconic historic British Residence to promote the relationship between France and the UK. Events range from small breakfast meetings and dinners to large conferences, commercial events, garden parties and even balls. Approximately 450 events are held in the Ambassador’s Residence each year, entertaining a total of c 15,000 guests. - Reporting to the Deputy Residence Manager, the Residence Events officer organises a wide range of events for the Ambassador and the wider Embassy.
- Working under the supervision of the Deputy Residence Manager in her capacity as Residence Events Manager and in collaboration with HMA Private Office, the Residence Events officer coordinates the Ambassador’s official entertainment – compiling and centralising guest lists; wording invitations; inviting guests; monitoring replies; preparing table plans; preparing guest lists for security; printing menus; attending events as required.
- Within the events team, the Residence Events officer is responsible for the delivery of a variety of events, such as house tours, breakfasts, lunches, receptions and dinners.
- In liaison with the Residence Support Officer, the Events Officer is responsible for the management of the Residence files on MS Teams; recording of accurate final guest numbers for statistics; recording statistics on houseguests; ensuring all contact data is up to date.
- Provide support to the Residence Events Manager in the organisation and delivery of external and other large-scale events.
- Manage of the houseguests’ programme, including updating the calendar with arrival and departure times and communicating information to relevant teams (pantry, kitchen and housekeeping).
- Manage a rolling programme of house tours, liaising with the visiting associations and house tour guides as necessary. He / she also manages the income generated through book sales and house tours in liaison with the charity committee and Residence Manager.
- With supervision from the Deputy Residence Manager, the Events Officer ensures the “Residence and Events” Channel is up to date on Microsoft Teams: including access to invitation and guest list templates, Residence prices, Residence guidelines and organogram, and Residence event bidding forms.
- Ad hoc tasks as necessary providing assistance to the Deputy Head of Mission in liaison with his APS; answering general protocol enquiries from the public.
- Covering for Deputy Residence Manager in her absence.
