Main purpose of job:

The Corporate Services team provides a wide range of services to both UK based and Country Based staff.  It is responsible for the efficient running of the Canada Network and provides all support needed for its day-to-day operation. The Canada Network is comprised of the British High Commission in Ottawa and Consulate Generals in Toronto, Montreal, Calgary and Vancouver.  

Working to the Corporate Services Officer and based in Ottawa, the successful candidate’s primary purposes are to ensure that the Canada ICT infrastructure is running effectively, support the design process and implementation of key ICT projects, provide technical services to end-users and to ensure that security operating procedures and administration process are adhered to for compliance of the network.  This includes providing assistance remotely and occasionally in person to the other Consulate Generals in the Canada Network.

As well, a unique and exciting project during this contract will be to support the design, installation and commissioning of ICT installations at a new High Commission building at 140 Sussex Drive in Ottawa, to assist in the relocation to the new premises and assist in decommissioning of the old premises at 80 Elgin Street.    

We are looking for a highly motivated, dynamic, and delivery-focused individual with previous IT and project support experience. The nature of the job requires you to be flexible, able to multi-task, and respond to changing priorities. 

This jobholder’s duties and responsibilities are subject to change with the needs of the High Commission. 


Roles and responsibilities / what will the jobholder be expected to achieve?:

  • To be the main point of contact for end-users IT queries and support ICT, including telephony, WiFi, ISPs and Video Systems, across the Canada Network

  • To provide IT support during events in the High Commission and Official Residence; 

  

  • To ensure the IT system is running efficiently by closely monitoring performance and liaising with London Helpdesk whenever needed;  

 

  • To ensure all audit and compliance procedures are followed in line with internal guidance;

 

  • Promote adherence to relevant policies, procedures, regulations and legislation, including but not limited to IT, security, equality, diversity, information management and health and safety 

 

  • To maintain IT Security Procedures and inventory of IT equipment on all systems up to Confidential;  

 

  • Supporting the team in reviewing, procuring, installing and managing hardware;

 

  • To administer and maintain hardware and infrastructure;

  • Deliver effective IT project support for the commissioning of a new High Commission building, the relocation to the new premises and decanting from the old premises undertaking project tasks as required; 

 

  • Support excellent financial management to ensure value for money by tracking expenditure and supporting the budget manager; 

 

  • Build and maintain positive, professional and trusting working relationships with key stakeholders, managing expectations and ensuring that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating when appropriate;

  • Keep internal teams, customers and delivery partners fully informed.  

 

Essential on arrival:

Must be legally allowed to work in Canada when applying.

Successful completion of two years of an acceptable post-secondary educational program in computer science, information technology, information management or another specialty relevant to the position to be staffed or an acceptable combination of education, training and/or experience as an alternative to the minimum post-secondary education stated above.

Experience providing technical support services, troubleshooting and advice to clients on Microsoft windows desktops, network applications and infrastructure services.

Experience providing technical support to end-users in an IT Service Desk environment.
Experience following standard IT troubleshooting procedures and logging information into a ticketing system.

Experience coordinating or assisting with IT asset management.

Experience in stakeholder management and customer engagement.

 

Ability to coordinate, prioritize and organize multiple tasks
Ability to investigate IT issues and devise solutions
Ability to communicate effectively orally and in writing
Ability to think critically and creatively  

Valid Driver’s License and ability to self-drive the official vehicle. 

Desirable:

Experience working in an international environment  

Experience working directly to senior management

Prince2 or PMP Certification 

Demonstrated experience leading/managing project teams or supporting project delivery in an IT environment.

The UK Government actively promotes Learning and Development (L&D) across all departments. There will be ample opportunities for the job-holder to develop, both within the areas directly relevant to your role, and more widely in a number of areas that may be of interest to you. The Foreign, Commonwealth and Development Office has a dedicated L&D team, as well as a Diplomatic Academy which leads on developing and organising dedicated training in policy areas. The FCDO ring-fences an annual allocation of five days that officers can devote to L&D activities, and the High Commission provides an annual L&D budget to which all staff can apply.

The British High Commisison and Consulate Generals have established a hybrid work stance. We are committed to supporting employees with the necessary tools to work effectively from home and in office. A requirement of this position is that the appointed job holder report to the office location as required to support employees and perform activities required on site.  Hours are flexible from Monday to Friday with focus around core office hours (for example, 0700-1500 or 1000-1800).

Operational Requirements:

Be willing and able to work flexible hours.
Be willing and able to work overtime as needed, sometimes without notice.
Be willing and able to make short trips within Canada to support other network Posts.
