Corporate Services Support

Main purpose of job:

Ensure delivery of effective management, finance, procurement, human resources and estate services to the Embassy.

Roles and responsibilities:

 

Finance and Procurement 

    • Continuously review business processes and resource management to identify new ways of working and deliver a more effective, efficient and professional operation.
    • Preparing annual and monthly financial reports, and secure approval from senior managers
    • Managing the Embassy’s budget, ensuring spend remains on target and maximising value for money.
    • Ensuring compliance with correct accounting procedures, meeting appropriate key performance indicators (KPIs).
    • Managing the end of month account procedures.
    • Preparing an accurate funding profile for the financial year and setting out monthly requirements.
    • Ensuring the cash flow management of the Embassy.
    • Implementing existing corporate policies and best practice on procurement,
    • Managing external contracts with local suppliers and vendors as necessary.

    HR

    • Ensuring, with the Chief of Staff, that staff`s status and conditions are in line with local law, including staff terms and conditions, salaries, leave and other benefits.
    • Ensuring effective induction of new employees
    • Assisting with processing diplomatic staff arrivals, departures, freight and luggage transfers, customs clearance, accreditation, etc.

    Estates:

    • Working with the Technical Support Manager (TSM) in managing local contracts (lease, gardening, maintenance, internet, telephony…)
    • Ensuring Health and Safety standards and policy are followed

    Crisis:

    • Taking part in the Embassy emergency planning and crisis response.

    TSM Back-up role:

    • In the absence of the TSM, ensuring IT is working and Health and Safety procedures followed

    Other duties as assigned

    • Must have 1+ years of relevant work experience (to include accounting and working with the public). 
    • Excellent communication skills, both oral and written.
    • Accountancy skills and attention to detail
    • Must have good organisational skills and the ability to work efficiently and accurately under pressure.
    • Computer literacy in all Microsoft Office Packages and a strong understanding of IT systems
    • Ability to handle confidential issues/information and deal with staff and clients in a friendly and sensitive manner.
    • A team player capable of working on their initiative and who is adaptable to changing priorities
    • Commitment to development of professional administrative skills and expertise
