The British Embassy in Moscow is part of a world-wide network, representing British political, economic and consular interests overseas and is looking for an Accommodation Manager.

The successful candidate will become an integral member of the multi-disciplinary Estates & Facilities Management Services team responsible for managing the UK Embassy’s accommodation portfolio for the British Embassy Moscow, as well as accommodation in Ekaterinburg. She/he will be required to cooperate and work closely with technical, plumbing, electrical, engineering and furnishing staff to ensure that accommodation and other office facilities are maintained to a high standard and meet FCDO compliance and health & safety standards.

Roles and Responsibilities:

  • Deliver accommodation services, including: sourcing accommodation, negotiating leases, preparing and furnishing properties, managing terminations and march-outs.
  • Liaise with UK based officers and Community Liaison Officer (CLO) about accommodation requirements ahead of their posting.
  • Troubleshoot day to day problems and issues to avoid escalation delegating where relevant.
  • Maintain records of work done, liaise with landlords/contractors and oversee reactive help desk services.
  • Maintain the Housing Policy for UK based staff and act as Secretary to the Post Housing Committee (PHC);
  • Manage rental, dilapidations and furniture budgets, provide robust and timely financial forecasts, reporting to the Head of Estates & FMS and attend quarterly resource management meetings in their absence.
  • Oversee monthly the update of property records on the Planon database (training will be provided).
  • Maintain security and health and safety checks on properties.
  • Liaise with the Estate & FMS’s technical team on the property maintenance forward plan, updating the plan monthly, as well as mitigate and day to day repairs as required in all (on and off Embassy compound) properties.
  • Purchase/supply of residential and office furniture, maintain accurate inventories of all stores and undertaking ad-hoc furniture sales to old furniture.
  • Provide management oversight of the Embassy cleaning and canteen operating contracts, and ensuring KPI’s are met and value for money is obtained.
  • Participate actively as a member of Health and Safety Committee secretary of Facilities Committee; Oversee the Canteen contract.
  • Other duties (especially during crises) deemed operationally necessary by the Head of Section.

This is a full-time, permanent contract for 5 working days, 35 hours net per week.

Staff recruited locally by the British Embassy in Russia is subject to Terms and Conditions of Service according to local Russian employment law.

The monthly salary for this position is 106,385 RUB gross, EO level, paid 13 times a year.
