Length of contract - 8 months

Main purpose of job:

The primary purpose of the role is to assist HMPO by carrying out verification checks on supporting document received in of support of complex British passport applications received from India and the distribution of British Passports to the VACs.  The successful candidate will have to consistently meet targets for quality efficiency and customer service.

Roles and responsibilities:

  • Carry our verification checks on documents submitted with passport applications as directed by HMPO via the Case Management tool. (around 30%)
  • Plan & conduct external visits when required to complete verification checks. This will include travel and overnight stays. (around 5%)
  • Prioritise and co-ordinate HMPO verification activity and supervise that activity with colleagues in other locations. (around 10%)
  • Monitor and report to UKVI and HMPO on workflow and performance in more than one location. ( aroubd 5%)
  • Establish and maintain a good relationship with UK based HMPO colleagues.  (around 10%)
  • Establish and maintain a good relationship with local government officials. (around 10%)
  • Correspond effectively with local government offices and other UK departments to assist in the verifications of documents. (around 5%)
  • Obtain further documents from applicants where necessary as requested by HMPO and verify with local authorities their authenticity as and when advised by HMPO. (around 5%)
  • Use the Case management tool to maintain clear and concise electronic records of referrals received and checks carried out. (around 20%)

Additional responsibilities will be:

  • The postholder may be required to carry out other duties within the scope of the grade and within the limits of their skill, competence and training.
  • The post holder will be expected to make suggestions about ways of improving working methods, systems and processes whilst supporting change by implementing new policies, procedures and systems.

The skills/attributes of the successful applicant will include

  • Prioritising in a busy work environment, working within a team, delivering to deadlines.
  • Good interpersonal skills.
  • Strong IT skills – in particular be able to use Microsoft Excel and Word.
  • Able to speak and write fluently in English is mandatory.
  • An ability to speak in Tamil is mandatory.

Resources managed:

The post holder will co-ordinate the workflow, from HMPO, across the New Delhi and Chennai locations and will direct  and monitor the completion of case work in both locations.  This will require supervision of this aspect of the resource based in New Delhi.

Language requirements:

English (mandatory), Hindi (mandatory), Tamil (mandatory).

Level of language required:

An ability to speak and write in English to a high level is mandatory.

An ability to speak in Tamil is mandatory.

An ability to write Tamil is desirable but not mandatory.

An ability to speak in Hindi, Malayalam, Telugu or Kannada is desirable but not mandatory.

Experience  in dealing with the general public, institutions and other government offices.

Applicants who have had previous experience in passport and/or visa work.
