His/her main responsibilities will be:


  • Assist the Residence Manager with usual tasks regarding expense control and registers.
  • Provide Support during official and non official Events held at the Residence.
  • Maintain fluid communications with suppliers and update the supplier’s database (purchase order numbers, bank and contact details, etc).
  • Report maintenance requirements to the corresponding area and follow up on their status.
  • Assist the Residence’s butler in the updating of inventories of beverages, crockery, among others.
  • Edit and send invitations to the events that are organized at the Residence.
  • Follow up on the RSVP received for each event.
  • Provide quotes for future events, taking into account the supplies and requirements each event needs.
  • Control and process supplier’s invoices.
  • Maintain fluid communications with staff and keep them informed of future events, as well as important news. 

Skills and experience required

  • Fluent in Spanish and English

  • Preferably, previous experience organizing events.

  • Teamwork and flexibly, showing a willingness to collaborate in all aspects related to team activity

  • Advanced computer skills (Microsoft Office and Excel)

  • Customer Service: dealing with internal and external clients.

  • Proactive attitude: willingness and ability to take the initiative

  • Resilience and ability to remain calm under pressure or critical situations.

  • Excellent organizational skills and ability to meet deadlines and establish priorities.

        

 


Good organisational skills, excellent communication and ability to liaise with different internal and external stakeholders, capacity to bring fresh ideas and to work under their own initiative, but also able to adapt and improve. 

Event management, including effective budget forecasting and monitoring.
