Main purpose of job:

The post-holder will support the work of the British High Commission’s policy, programme and communication team members, delivering a range of administrative, logistical and co-ordination activities.

The post holder must be fluent in English (written and spoken) and have excellent organisational and coordination skills that will enable them to plan, prioritise their work and meet deadlines across multiple work streams.  

He/she will have strong communication and collaboration skills, able to work in a team and independently. He/she must also be able to develop excellent working relationships with a wide range of colleagues and stakeholders internally and externally. 

Roles and responsibilities:

  • 25% Provide administrative support to the HC/DHC – helping manage their incoming and outgoing correspondence to ensure timely responses; assisting with the arrangement of external meetings, following up with Government of Botswana as required; and maintain a database of the High Commission’s key contacts.  
  •  25% Provide administrative support to the policy and programme teams -performing a budget monitor function for entertainment and travel forecasting and spend.
  • Assisting with project administration tasks, including performing a Secretariat function for the High Commission’s Project Management Board; and performing other ad hoc tasks to contribute to the smooth running of the office.  
  •  25%  Play an active part in the High Commission’s communications and public diplomacy delivery – under the direction of the Communications and Public Affairs Officer; conducting the day to day management of our digital presence – ensuring that the BHC’s website and social media accounts (Facebook and Twitter) are kept up to date
  • Providing support to the Communications and Public Affairs Officer with the creation of new digital content to promote our policy objectives; and assisting with the delivery of events and other representational activities.  
  •  25% Support the delivery of the Chevening Scholarship Programme and Portfolio – providing administrative assistance to the Communications and Public Affairs Officer with the selection and deployment process; maintaining a database of the Chevening alumni and helping maintain the relationship between them and BHC/London policy teams; supporting the identification, monitoring and evaluation of any successful Chevening alumni project bids.

·      Proven administrative experience, including arranging meetings and events; 

·      Experience interpreting and implementing corporate policy e.g. finance policies and procedures; 

·      Experience of organising events/conferences/ workshops; 

·      Effective organisation, prioritisation and planning skills; 

·      Computer literate and proficient user of Microsoft programs such as Outlook, Word, Excel, MS Teams and SharePoint.   

·       Previous experience in similar role; 

·       Understanding of social media and event delivery.
