Main purpose of job:

The jobholder will support delivery of the Japan Network’s pro-active marketing and campaign work for key audiences including UK exporters and Japanese investors; provide administrative and logistical support for the team; and support the management of core Japanese-language marketing collateral, tools and products for British government target audiences in Japan.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Support the delivery of marketing and digital campaigns for the Japan Network. Specifically: collecting and drafting articles for our bi-monthly business newsletter in Japanese; assisting Marketing Officer in maintaining campaign platforms; ad hoc support to Digital Officer in researching and drafting social media content for core digital communications

  • Handling of public enquiries and Embassy koen (endorsement/support) programme. Specifically: monitoring the public enquiries inbox on a daily basis; forwarding enquiries to relevant sections or answering general enquiries on behalf of the team; coordinating endorsement/support (koen) requests and recording to file.

  • Hands-on support during major events and visits including frequent Ministerial activity and on occasion Royal visits to Japan. Flexibility to adapt to a variety of roles is key during these moments, which could likely provide experience in press work, digital communications, photography/videography and event production.

  • Maintaining the database of marketing assets and collateral. Specifically: handling booking requests from teams for using assets at events; maintaining the collateral inventory database to reflect up-to-date information; leading on collateral set-up for events; communications with key suppliers to confirm and place orders as well as handling payments.

  • Managing the Section Budget forecast.  Specifically: leading on Section Budget monitoring role, monitor expenditure against the budget allocated every month and ensuring all team members have accurate forecasts for the fiscal year; assisting Head of Section by providing data in order to make effective decisions for next fiscal year’s budget forecast.

  • Provide administrative and logistical support for the section. Including, but not limited to: managing newspaper subscriptions for the team; maintaining stock of stationery items; updating the telephone tree and leave calendar for the team when needed.

  • Ad hoc translation and proofreading support. Specifically: quality checking of English-Japanese translation around various international campaigns, proofreading new blog articles written in Japanese and more.

Learning and development opportunities (and any specific training courses to be completed):

The British Embassy offers comprehensive learning and development opportunities that will be fully available to the jobholder. We regularly run both work area specific training, as well as more general skills development in project management, finance, and leadership. Each year the job holder will be encouraged to use 5 development days to pursue job related and personal development goals.

All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this and regular opportunities will be available to test and develop your skills.

  • Experience of working in both English and Japanese speaking environments would be a clear advantage;
  • Country knowledge and proven ability to engage Japanese, UK and/or international audiences;
  • Strong IT skills (including standard Microsoft Office programmes and familiarity of latest digital tools and social media);
  • Ability to work independently and creatively on projects;
  • Ability to perform detailed translation checks and proofreading of articles in Japanese;
  • Fluency in Japanese and/ or English (level of language required: native Japanese or English speaker with fluency/ high level working ability in other language (JLPT level  1 or equivalent /IELTS band 7 or TOEIC 875 points or above or equivalent). 
  • Experience in trade/ public relations, marketing, or digital communications with a public or private- sector organisation.
  • Expertise in relevant digital platforms, production, and techniques;
  • Familiarity with newsletter and online survey software(s);
  • Proficiency in Adobe Photoshop/Premier/Illustrator, or any visual/photo editing software
  • Holds relevant industry qualification or certification in communications, marketing and/or project management;
  • Experience in photography and/ or videography.
  • Experience in financial management and budget monitoring.
