View Vacancy - Corporate Services Officer (KYR24.299)
The British Embassy in Bishkek is part of a world-wide diplomatic network, representing British political, economic and consular interests overseas and is now looking for a Corporate Services Officer.
Main purpose of this job:
Estates management, including the Embassy premises, Ambassador’s Residence and Residential hiring for UK based staff; ensuring health and safety standards across the Embassy estate comply with FCDO standards to ensure a safe and compliant platform for all Embassy staff; and oversee maintenance of the Embassy’s two official vehicles.
Roles and responsibilities:
Estates Management
• Monitor and respond to Estates work requests including for the embassy office, ambassador’s residence and four residential properties for UK based staff, maintain and deliver on a Post Preventative Maintenance Programme (PPMP).
• Manage the day-to-day activities of the gardener, handyman, Facilities Management Provider and Residence cleaner, acting as the initial escalation and contact point for Embassy staff queries. Focus on effective customer service providing a professional service in line with the Post Corporate Services Charter.
• Supervise projects with sign-off from the Corporate Services Manager, and preventative and reactive maintenance works, ensuring compliance with FCDO policy.
• Contract management: including preparing and maintaining annual maintenance contracts.
• Responsible for monitoring Post’s maintenance budget.
• Manage the Embassy vehicle fleet (two official vehicles), including oversight of maintenance and procurement of replacement parts.
• Update Corporate Services Manager and Senior Leadership Team on Estates – escalating issues as needed;
• Keep Embassy Estate Records Management system up-to-date.
• Lead on Post logistics/ diplomatic post arrangements including customs clearance of incoming deliveries and outward despatch of diplomatic bags.
Compliance
• Ensure Estates procurement is effectively managed and compliant with the FCDO policy, working with the Procurement Hub and Regional Technical Lead/Technical Works Supervisor;
• Manage inventory of Embassy assets in line with FCDO policy; and maintain up-to-date inventories for UKBased accommodation and the Ambassador’s Residence.
• Perform and document property inspections and hazard risk assessments for both residential and office estate.
Health & Safety
• Work closely with Regional Technical Lead and Technical Works Supervisor to manage health and safety related issues, ensuring full compliance with FCDO policy;
• Health and Safety and Fire Safety Manager for the Embassy.
Consular
• Back-up consular support
- Excellent verbal and written communication skills enabling effective communication and ability to adapt communication style to different situations in English and Russian (minimum C1 level for CEFR framework *);
- At least 1-year experience in Estates/facilities/ procurement/logistics role;
- Customer service background;
- Resilient; able to deal with pressure and work flexibility to deal with competing demands.
- Desirable knowledge of Kyrgyz (B2 level for CEFR framework *);
- Experience of working in an international environment;
- UK and local Health and safety knowledge.
This is a full-time and permanent position.
Working hours from: Monday to Friday 09.00-17.00, but flexibility on working patterns is offered.
The gross salary per month is 1,644 Gross USD. Please note 13th monthly salary is paid pro rata in November.
The successful candidate will be subject to a professional background check and security clearance and 3 month probation period ( permanent contracts).
