Main purpose of job:

To administer support to the Defence Section ensuring the successful delivery of the UK/India Bi-Lateral Military Engagement programme.  This will involve liaising with numerous agencies both international and in-country. 

To provide Imprest account support to the Defence Section ensuring cash and bank transactions are correctly recorded daily, reconcile and balance accounts monthly, collating all vouchers, invoices, bank statements, un-presented cheques and cash.  Prepare and submit monthly budget reports.  Compile and submit monthly, quarterly and annual administrative returns.  Calculate pay salaries for five locally employed staff.  Assume responsibility for the security of and access to cash, cheque books, vouchers and keys, highlighting and reporting any anomalies in accordance with MOD regulations (JSP 462 AND 752)..

Assistance for the inward and outward preparation, administration and briefing of the National Defence College and Defence Services Staff College students and their families and other visitors as required, acting as point of contact during their tour.

Assist the Coord Officer and Programme Officer with inward visits to India.

General assistance to Defence section with administration and finance support required in the course of normal Defence Engagement duties.

Security clearance required:

Because of the security clearance requirement , only nationals of UK are eligible to apply.

Roles and responsibilities:

FINANCIAL RESPONSIBILITY

  • Calculations of salary/overtime payments for the Defence section LE staff.
  • Process monthly returns by collating vouchers, invoices, bank statement, un-presented cheques, cash and cheque balance.
  • Maintain Imprest cash book.
  • Support to all Defence finance matters as required.
  • Assist Defence Section personnel in management of all expense administration.
  • Other duties as required.

EVENT HANDLING

  • Assist with Defence Section visit programmes. 
  • Liaise and co-ordinate admin for Defence Section visits/visitors to India.
  • Production and despatch of invitation cards as required.
  • Other duties as required.
  • Assistance in managing guest lists/contacts

ADMINISTRATIVE

  • Routine correspondence and general administration.
  • Update and maintain filing system.
  • Collection, distribution and despatch of unclassified mail.
  • Other duties as required.

MISCELLANEOUS

  • Other duties as assigned by the Office Manager.

The Defence Section exists to support both MOD and the High Commissioner’s objectives.  It is a busy office with a mature, collaborative and collegiate approach.  Flexibility is essential to the success in this fast paced and exciting section.

Other skills / experience / qualifications:

Essential on arrival: 2-3 years of administrative experience.

- Complete Finance or other courses as determined by DE Strat.

-  Strong written and oral communication skills with ability to absorb information quickly and efficiently.

-  Proficient in the use of MS Word, MS Excel, MS Outlook and resourcefulness to efficiently search the web.

Desirable skills/qualifications:  

Candidate should have Previous experience in Finance.
