Corporate Services Support

Main purpose of job:

The Corporate Service Officer will be responsible for administrative support to the Corporate Service Team in the British High Commission. Their role will consist of Estate Management, Contract Management and Procurement.

The officer will lead on contract tenders ensuring that internal policies and guidelines are adhered to and that best practice is maintained across the High Commission. As well as management of a number ongoing contracts such as Mobile Telephone and internet contracts.

The officer will also support the Deputy Corporate Service Manager (DCSM) in delivering on planned preventive maintenance programmes across the High Commission’s estate portfolio.  In conjunction with DCSM the officer will support the implementation and adherence to all fire, health and safety policies and requirements, and that all service and repair works are carried out efficiently and to correct standards and value for money.

Roles and responsibilities:

Contract/Procurement Management – 35%

  • Manage the Purchase to Pay process at the British High Commission, ensuring that correct guidelines are followed.
  • Contribute to the process of setting up contracts for estate and maintenance work, this will include following correct tender policies.
  • Support the Deputy Corporate Service Manager in delivering value for money on procurement and contracts
  • Raise requisitions on the in-house accounting system and correctly invoicing to the High Commission’s budget. 

 Estate Management – 35%

  • Support the DCSM on property maintenance issues as and when required, this will include inspections of all the properties the High Commissions holds in its portfolio
  • Implement and support preventive maintenance work ensuring that correct standards are meet at all times.
  • Assist in carrying out Health & Safety risk assessment in all High Commission properties and pass on concerns to DCSM and CSM
  • Conduct annual inventories of properties including floor plan measurements to include on the in-house reporting system.
  • Be the focal point for day to day office maintenance and fault rectification including resolving UK based staff residential accommodation issues.
  • Liaise with contractors and suppliers regarding maintenance and repair work.

General Office Support – 30%

  • Provide support to the wider office on events held throughout the year, including the Queen’s Birthday party.
  • Arrange insurance for official vehicles and UK based staff vehicles.
  • Manage fuel reserves and procure fuel for vehicles and generators.
  • Lead on store management ensuring that accurate records are kept of equipment and that monthly random checks are conducted.

 

  • At least three year corporate services or business administrative experience
  • Background in facilities and estate management
  • At least two years’ experience in procurement
  • Strong interpersonal and oral communication skills
  • Excellent attention to detail and time management skills
  • Experience is using Microsoft Office especially Excel
  • Experience working in a Diplomatic Mission or international organisation
  • Experience in managing and tendering for contracts
  • A degree or technical college accreditation in Business Administration
