Main purpose of job:

The Department for International Trade, operating from the British Deputy High Commission (BDHC) network is   expanding across India to enhance and deepen our trade relationships. We are   looking to fill a vacancy in our team in BDHC in Mumbai. The role will be to   manage and support the events, visits and campaign initiatives of the   Department for International Trade (DIT) at the BDHC in Mumbai.

Mumbai is one of the busiest of the   UK’s missions across the country seeing a very large number of UK Ministers visiting   with the objective of strengthening our trade relations with India. With the   UK voting to leave the European Union, the number of visitors is only likely   to increase as the UK seeks to build its trade and investment relationship   with India. The post holder will be working to the Second Secretary Trade and   Investment to deliver successful visit and event programmes.

 

This is an opportunity to be at the   heart of the UK Government’s trade and investment work and delivery overseas.   The incumbent will be responsible for working with sector colleagues and   supporting the delivery of high quality, high impact events (ranging from   small lunches to large scale events and receptions for more than 200+ people)   supporting and promoting UK companies in India whilst delivering value for   money. The post holder will take care of the fast changing visit programmes   and managing everything from transport arrangements to hotel bookings and   payments. The post holder will liaise with high level stakeholders, including   with Ministers’ private offices – the job holder will need to be confident   and an excellent communicator, both verbal and written.

 

You should be someone with sound   administrative skills and willing to develop your event management skills.   Multitasking and communicating the right information to the right team within   tight deadlines is essential.

 

The role offers excellent development   and opportunities to support sector colleagues on their trade and investment   campaign delivery.

Roles and responsibilities :

 

Events management and supporting Ministerial and senior officials’   visits

  • You will manage   and support the organisation and delivery of events and visits for VIPs,   Ministers, UK companies, and other senior stakeholders, working across the   DIT team in Mumbai.
  • You will   contribute from the planning stage all the way through to delivery on the   ground.
  • This role suits   an individual who is highly motivated, able to take the initiative in   spotting potential issues before they arise, passionate about improving work   flows, and is used to working collaboratively, across a range of internal and   external teams, to meet the wider objectives of their team.
  • It is essential   that you are able to prioritise your workload effectively and to continually   reassess those priorities to meet business needs.
  • The post holder   will have a strong track record of working accurately and with outstanding   attention to detail, which is vital to delivering successful events and   visits.
  • You will need to   be highly organised, able to stay calm under pressure, have excellent IT   skills, and be a great communicator.
  • You will need   the confidence to work with minimal supervision.
  • Previous event   management experience would be an advantage, but not essential.
  • Responsibilities   will include: programme co-ordination; events and logistics management,   including contracting catering and logistics providers; ensuring costs represent value for money;   liaising with VIPs’ offices; drawing up guest lists, and liaising with   external stakeholders to ensure events are well attended.

 

Vendor Management

  • You will liaise and manage ongoing relationships with vendors, including event management companies, printing companies, hotels and   caterers.
  • You will ensure vendors deliver to a high standard, both in terms of   timescale and quality.
  • The job holder will need to seek and build relationship with new vendors when required.

For other than BHC candidates, salary will be INR 34,684 per month together with a 12% provident fund and 6% Superannuation Fund/ Special Allowance.
