View Vacancy - Project Support Officer and Personal Assistant to the Deputy Head of Mission (HUN18.521)
The British Embassy in Hungary is part of a world-wide network, representing British political, economic and consular interests overseas. It is now looking for a Project Support Officer and Personal Assistant to the Deputy Head of Mission.
As part of the Embassy’s Policy and Communications & Events sections, this important role will increase the efficiency and effectiveness of a dynamic team by providing high quality administrative, organisational and project support.
This varied position will suit a highly motivated individual who enjoys being busy, has excellent organisation skills, and who is flexible and willing to take on new opportunities as they arise. The role will be well suited to an individual with an interest in UK and EU politics and international relations.
Main Duties and Responsibilities
Provide high quality administrative, organisational and policy support to the Embassy’s Policy & Communications and Events Teams in order to ensure effective and efficient operations. This includes research and occasional reports on specific policy issues according to team priorities at the time, database management, expense administration, travel arrangements, occasional translation work and general administrative support.
Provide support to inward and outward official visits and assist in organising meetings and small events. Deputise for Events & Visits Officer.
Project Coordination: act as the Embassy’s programme officer and support the work of the Post Programme Board by acting as Secretary to the Board. Organise meetings, write meeting records, monitor progress and ensure audit procedures are followed correctly. Compile progress and financial reports to the Board and London as required. Contribute to the Embassy’s bilateral programme activities by providing project support to Policy Officers in all administrative aspects of project management.
Budget Administration: administer the Policy and Communications & Events Teams’ entertainment, travel, representation and programme budgets. Oversee timely and efficient spend by accurate forecasting, monitoring and reporting as required.
Act as the Personal Assistant to the Deputy Head of Mission and deputise for the Ambassador’s Personal Assistant: diary management, travel arrangements, organising meetings, etc.
Excellent language skills (oral and written) in English and Hungarian;
At least one year of work experience in a support/administrative role;
Proven organisational and administrative skills with good attention to detail;
Proven project and budget management skills with the ability to work on own initiative;
Strong interpersonal skills and ability to work in cross-functional teams effectively;
A ‘people person’ and effective communicator with strong customer focus;
Ability to work independently and as part of a team, respond flexibly to changing priorities;
Strong IT skills using Microsoft Word, Excel, Office and Internet.
University or college degree (preferably in International Relations, Administration, Project Management, or similar);
Previous experience in working as a personal assistant;
Previous experience in an international work environment and/or public administration;
Experience with Oracle systems and databases;
Interest in international affairs, politics, economics, education, science, knowledge and society.
This is a full-time position of 5 days (35 hours net per week) for a one year fixed-term contract, which may be extended for a further year by a mutual agreement.
Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked.
The successful candidate will be subject to confirmation of a background check and security clearance. You must have pre-existing work authorisation for Hungary in order to apply.
