Background: 

The British Embassy Washington is looking for an experienced, customer-service focused business operations coordinator to support its US Network of posts. The successful candidate will coordinate specific Corporate Service led activities in our eight Consulates General across the United States as well as our Embassy in Washington.  The coordinator will report directly to the Head of Corporate Services for the US Network. This is a full time position.

Responsibilities include, but are not limited to those outlined below.  The successful candidate should be prepared to work flexibly across a wide range of areas and be able to provide cover for absent colleagues as required.

Duties and Responsibilities:

US Network co-ordination

  • Engage with stakeholders across the US Network to improve the delivery of Corporate services, identify efficiencies and streamline our effort;

  • Ensure Corporate Services Managers (CSMs) have the necessary support and guidance to guarantee US Network resilience and business continuity.

  • Engage with CSMs, coordinate CSM meetings, create agendas and prepare meeting minutes.

Crisis Management/Response

  • Lead the development of the US Crisis management plan, working closely with Senior Leadership, Consuls General and Corporate Service Managers across the US Network (all coordination is conducted out of Washington, DC);

  • Coordinate the Embassy Business Continuity plan making changes as needed.

  • Ensure our business continuity/crisis backup site is maintained and relevant documents are updated;

  • Lead and coordinate regular crisis exercises, including an annual US Network wide crisis scenario, in close cooperation with British defence staff;

  • In conjunction with Embassy based Consular staff, further develop relationships with key NGO’s and relevant Government Organisations to ensure support during crisis operations;

Learning and Development (L&D):

  • Organize an L&D program for US Network in line with the US Network L&D strategy and in conjunction with the Regional Learning & Development team;

  • Act as secretariat for the Embassy Learning and Development Committee;

  • Manage the L&D Budget;

  • Disseminate L&D information via the US Network intranet site and other media channels;

  • Organize a procedure to take full advantage of reactive L&D opportunities (for example by organising events for senior visitors to share their experience with staff).

Other duties

  • Provide backup/support as necessary to the internal communications officer.

  • Draft papers across the range of Corporate Service functions for the US Network and Washington Management Boards as necessary.

 

 


Minimum Qualifications/Experience:

Language: fluent - oral and written

  • 3-5 years relevant experience in a similar role with a BS in general business preferred.
  • Experience in budget management or finance preferred.
  • Fluent in English, orally and in writing, required.
  • Strong IT computer skills including MS Office; experience with Oracle systems and HTML preferred.
  • Ability to work with contacts and colleagues at all levels.
  • Personal drive and the ability to be a self-starter as well as a team player.
  • Strong organizational, analytical and time management skills, with very good attention to detail.
  • Flexible, resilient under pressure and decisive with a proven track record of delivering results to a high standard within tight deadlines.
  • Ability to travel occasionally within the US as needed.
