Main purpose of job:


The tech visits and events officer is responsible for the management of all tech-related engagement by senior visitors to the West Coast (including ministers, senior officials, and parliamentary committees). The job involves unique exposure to UK and US Government leaders and processes, and requires the highest levels of professionalism and service delivery. It is a busy and rewarding role, requiring resilience, a self-starting approach, and a high degree of flexibility.


 


Roles and responsibilities:


 


  • Direct planning and delivery of tech-related senior visits and high-level events on the West Coast. Tracking visits (and proposals for visits) and monitoring follow up across the US network.
  • Securing and arranging calls on tech company executives, senior political figures, think tanks, academics, and other organisations. Negotiating timings and subjects for discussion. Conducting advance visits. Agreeing security arrangements and clearances.
  • Developing and maintaining strong networks with contacts in the US and the UK, across government and the tech companies.
  • Preparing an accurate programme – agreed with all stakeholders – ahead of each visitors’ arrival.
  • Meeting and escorting (and where required coordinating) advance teams, and some visiting parties.
  • Making any necessary security arrangements, including working with diplomatic protection.
  • Arranging VIP airport and airline facilities and working with airline and immigration officials to ensure smooth arrivals and departures.
  • Produce detailed logistics and transportation plans, and work with transport teams, limousine companies, and drivers, as well as hotel operators and residence managers, to ensure cost effective arrangements.
  • Coordinate facilities, catering and layout as required.
  • Overseeing paperwork and administration related to visits, including invoices and payments, and ensuring prompt repayments by UK departments.
  • Working with colleagues in the US network and the UK to manage the flow of visits, acting as an early warning system where difficulties or scheduling clashes emerge, and de-conflicting as necessary. Maintaining an overview of all tech-related visits to the US from the UK. 
  • Maintaining tracking follow up actions from each tech/digital senior visit in the US network, and engaging with policy, politics and trade colleagues in the US and UK to ensure completion.
  • Producing a monthly summary of visits to share across the network and with seniors in the UK.

 


 


Essential on arrival:


  • Experience of working in an events, planning, or administrative role.
  • A track record of ability to coordinate across multiple moving parts and geographies.
  • Excellent relationship management skills, and a collaborative outlook.
  • Strong time management.
  • Energy, creativity, and dynamism.

Desirable:


  • Experience working with senior executives or officials.
  • Knowledge of tech/digital and Silicon Valley/West Coast tech landscape.
  • Project management experience.
